This page supports vendor management across RFQs, orders, and procurement workflows in SubBase.


Purpose

The Vendors tab plays a central role in SubBase by acting as the single source of truth for vendor relationships, ensuring consistent communication and reliable supplier selection across all procurement activity.

The Vendors tab provides visibility into vendor contacts connected to your company and the broader SubBase network.

This page supports procurement workflows by making vendor information easy to find and reference wherever RFQs and orders are created.


Who Can Do This

This tab is typically available to Admins and Purchasers, though visibility and actions depend on company configuration and role permissions.


Before You Start

Vendor visibility reflects your company’s access and existing relationships. Some vendors may already exist in SubBase through prior connections or network participation.


What You Can See and Do in the Vendors Tab

When you open the Vendors tab, you can view a list of vendor contacts associated with your company, organized by supplier. The page is designed to help you quickly recognize who is active, who is inactive, and which vendors are available for use in procurement workflows.

You can switch between views that show vendors directly connected to your organization and vendors available through the broader SubBase network. Each vendor appears as a card or row that highlights key contact details and status at a glance.

The page supports searching and filtering so you can quickly locate vendors by name or company, and it provides clear visual indicators to distinguish between active and inactive vendors.


Vendor Views and Organization

The Vendors tab is split into two primary views:

  1. My Vendors

    1. This view shows vendor contacts already connected to your company. Vendors are grouped by company, with individual sales representatives listed underneath. These vendors are available for selection when creating RFQs and orders, depending on their active status.

  2. SubBase Network

    1. This view shows vendor contacts that exist within the broader SubBase network but are not yet connected to your company. It allows users to discover vendors already active on the platform and connect with them, helping avoid duplicate records and quickly add them to your vendor list.


Icons and Indicators

Throughout the Vendors tab, visual indicators help users quickly understand vendor status and availability:

  • Active and inactive states show whether a vendor can be selected for RFQs and orders

  • Vendor cards or rows represent individual contacts grouped under a supplier

  • Action buttons and menus signal where vendor information can be viewed or managed

  • Search and filter controls allow users to narrow the list without affecting underlying data

These indicators are descriptive and informational, helping users quickly understand what is available without navigating away from the page.


Cross-Page Consistency

Vendors shown in this tab are the same vendors that appear when selecting suppliers during RFQ and order creation. Visibility in those workflows mirrors what is shown here, ensuring consistency across SubBase.

If a vendor is inactive in the Vendors tab, it will also be unavailable for selection elsewhere in the platform.


Troubleshooting

I cannot find a vendor I expect to see

The vendor may be inactive, not yet connected to your company, or listed under the SubBase Network instead of My Vendors.


FAQs

Are vendors shared across projects?

Yes. Vendors are managed at the company level and can be used across projects, depending on access and status.

Does this page control pricing or contracts?

No. The Vendors tab focuses on vendor contacts and availability. Pricing and commitments are handled in other parts of SubBase.


Best Practices

  • Keep vendor records organized and up to date to avoid confusion during RFQ and order creation

  • Use the SubBase Network to connect with existing vendors instead of creating duplicates

  • Regularly review inactive vendors to ensure your active list reflects current supplier relationships
