Find and Download Materials

Search and filter your materials, pick the columns you want, and export the result to a file you can open, print or send to your accountant.

Narrow the Material Database down to the materials you care about, choose the columns you want to see, and take the result away as a file.

Before you start

  • You need the Can edit material database permission to open the page. By default that is Admins and Purchasers.

Search

Type into the search box above the list. It searches every material your company has, not only the page in front of you.

When nothing matches, the list reads No results match your search.

Filter

  1. Click the filter icon to the right of the search box.

  2. Stay on Filters.

  3. Set the filters you want. The list narrows as you go.

The filters are Group, Sub group, Project, Phase Code, Cost Code, Cost Class, Tags, Preferred Vendor, Stock, Active, Has commitment and Commitment. Stock appears only when your company uses Inventory.

The number on the filter icon is how many filters are applied. It starts at 2, because the list opens showing active materials only.

Use this panel rather than the small filter menus on the column headings. The panel searches every material; a column filter would only reach the page you are looking at, which is why those are switched off.

Choose your columns

Open the same panel and go to Columns. Show and hide what you want. SubBase remembers your choice in this browser, and the columns you leave showing are the columns you get in the download.

Download the list

  1. Set your filters and columns first.

  2. Open the panel and go to Download.

  3. Click the download button under Download Material Database.

SubBase builds the file in the background rather than handing it to you on the spot. You get a notification in the app and an email when it is ready.

There is no print button. Downloading the file and printing from your spreadsheet software is the way to get the Material Database onto paper.

Notes and limits

  • Sorting covers every material, not only the page you are on. Click a column heading to sort by it.

  • The list shows 50 materials a page. You can change that to 25 or 100 at the bottom.

  • Totals and grouping are not available on this list, because they would only ever cover the page in front of you.

Best practices

  • Hide the columns you do not want before you download, not after. The file contains the columns you have showing, so trimming them here saves you deleting them in a spreadsheet every time.

  • Add inactive materials to the Active filter when the download is for an audit or a cleanup. The default export leaves them out, and inactive materials are usually the ones causing the problem you are auditing.

  • Download the list before a bulk upload. The file is what tells you which SubBase ID belongs to which material, and an upload row with the wrong ID overwrites the wrong material.
