Template Creation

When creating a template for a shipment, you will need to access your account and click on the "New Record" button.

Subsequently, a window will open where you will have to select the "Blank" (basic) template.​

The following screen will appear with the blank shipment so that you can design the flow from scratch.

To begin building the flow of your shipment, you must first have a clear understanding of the parties involved. Then, click on the "DropDowns" at the top: "Origin" "Destination" & "Other". This will display all the boxes you can add to the shipment, where you can invite each participant. Drag them onto the empty canvas to start creating your flow.

For instance, if you have 1 supplier and 2 transportists, you will need to drag 1 supplier box and 2 transportist boxes.

If you hover over the boxes, you will see dots appear on the sides. Click and drag from those dots to create arrows and connect boxes to each other, shaping the flow.

Remember that the yellow boxes represent geographical points. You will need to position them to the right or left of the transportits boxes to represent the route of the shipment. These boxes are:​

  • Pickup: first mile or warehouse where the goods are collected/pass through.​

  • Origin: customs location at the origin.​

  • Destination: customs location at the destination.​

  • Delivery: last mile or warehouse where the goods are unloaded/pass through.

The image shows how the flow of a full shipment would be drawn. It is recommended to create the transporter boxes in the middle of 2 points. Insert the boxes of other collaborators above or below depending on the point at which they intervene. For example, the exporter acts in the first mile and the importer in the last mile, so they are drawn at the ends in the flow.

Remember: by clicking and dragging on the canvas, you can move the entire set of boxes. You can also use the zoom feature in the bottom right corner to view the shipment according to your preference.


Shipment Permissions

Once you have designed the flow of the shipment, you can establish custom permissions for this template, so that each time the template is opened, it is created with specific permissions and not with the account's configuration.​

To do this, click on the "Permissions" tab at the top of the shipment, which will take you to a screen very similar to the account's permissions configuration (they will work in the same way as well).

Proceed to configure the permissions for this template following the same concepts as the account's permissions configuration.

The only difference is that on the right side of the screen, you will find two additional buttons, which are "General" and "Detail", as seen in the image.

Each one will serve a purpose within the shipment. For the permissions in "Detail", these will be the permissions that will be applied to the template and followed by the shipment. These are the most important, as if a permission is not granted here, the action cannot be performed in practice. Any real-time changes will be made in this section.

If you click on the "Detail" button, you will see that the data in the rows and columns no longer represent the general information but rather the names of the boxes and companies you have created in the template (or a code if the resource information has not been completed).​

As for the "General" permissions, these will serve so that if you add an additional box to your shipment in the future, it will be created based on the permissions configured in this section.

Configure the general permissions keeping in mind that they will not be the ones followed by the shipment in practice. Instead, they will serve as the baseline for adding resources that were not saved in the template.​

For example, if you have 2 Transporters with edited permissions in "Detail" and you add a new, third one, the latter will have different permissions, as it will copy the general permissions to the section "Detail." This applies to all new boxes added to the template.

As for the "Document Permissions" since you cannot save documents in the template, there will be no detailed permissions.

Therefore, the "General" permissions will be applied as the valid ones to work on the shipment, unlike the "Resource Permissions" and "Creation Permissions" where the "Detail" permissions are considered valid, and the "General" permissions only function to make changes to the template in the future.


Save Template

Once you have finished configuring the permissions for your shipment and have completed the flow for all participants, proceed to save the shipment as a template.

To do this, click on the "Save as template" button at the bottom of the screen.

Then, select a suitable name for the template to help you identify it for future openings.


Open Shipment from a Template

When it's time to manage a shipment, proceed to create it in USYNCRO. Access your account and click on "New Record"

Subsequently, select the previously created custom template, "Template Name"

Afterwards, a window with the selected template shipment will open.
