Overview
There are three key steps to setting up an onboarding program:
Create an onboarding form
Create or select an onboarding (e-learning) course
Add required documents (e.g. RAMS or safety statements)
Once these steps are complete, you can build, publish, and assign your onboarding programme.
Step 1: Create and Publish an Onboarding Form
Navigate to Staff Onboarding and click Onboarding.
Create or edit your onboarding form as required.
Once you are happy with the form, click Move to Published.
The published onboarding form will now appear in the onboarding form dropdown list.
Cloning an Onboarding Form
Click the three-dot menu in the top-right corner of the form.
Select Clone Form to create a copy.
This is particularly useful if you need to provide onboarding forms in multiple languages.
Step 2: Add Onboarding Documents (e.g. RAMS)
Go back to Staff Onboarding and select the Documents tab.
Click Add New Document.
Complete the document details and upload the relevant PDF file.
Assigning Documents
Assigned to All Profiles = Yes
The document will be assigned to all profiles.Assigned to All Profiles = No
You can assign the document to selected partners, driven by your supply chain application.
Set the required signature validity.
Click Publish and Save Changes.
Your document (e.g. RAMS) will now be available for onboarding programs.
Step 3: Select or Create an Induction / Training Course
Open the Trainer App by clicking the nine-dot menu.
Select Trainer.
Choose an existing training course.

Step 4: Create the Onboarding Program
Once all materials are added, click Onboard in the top-right corner.
Enter a Program Name and Description.
Select:
Your onboarding form
Your training course
Your document(s) (e.g. RAMS)
Click Save as Draft.
Click Edit Program, then select Published and Save Changes.
Your onboarding program is now ready to use.
Cloning an Onboarding Program
Click Clone Program to create a copy.
This is useful for:
Multiple languages
Different RAMS or document requirements
You can edit the cloned program and add or change documents as needed.
Step 5: Assign the Onboarding Program to a Team
Select the relevant team and click Add Team.
Navigate to Assign & Publish
Choose whether to apply it to:
New team members only, or
All team members
Save your changes.
