In this article, we are going to show you how to set up and synchronize your Hubspot account with the platform.
You can combine the power of ZELIQ with your CRM to avoid back and forth between the two platforms. ZELIQ enriches your Hubspot database with valuable information related to your campaigns: contacts, companies, and activities (phone calls, emails, notes).
Depending on your configuration, you will be able to:
🚀 Create new leads in your CRM, no matter the channel used to import them into your ZELIQ campaign: CSV, LinkedIn extension, manually, etc.
🔥 Synchronize your activities with your prospects (calls, emails and notes)
🌟 Update the leads in your CRM with verified information in ZELIQ -
⚡️ Import prospects from Hubspot to ZELIQ to enrich them or prospects using your filters
✨ Let's get started!
🔎 If you are on the Free plan, please note that only "pull" functionality is available, meaning you can share information from Hubspot to ZELIQ, but not the other way around or bidirectional.
Connect Hubspot
➡️ Click on "Settings" at the bottom left of your window
➡️ Click on "Integrations" 🔌
➡️ Then connect your Hubspot account via the "connect" button.
➡️ Create or log in to your Hubspot account
➡️ Select your Hubspot account
➡️ Connect Hubspot
💡In order to connect your Hubspot account to ZELIQ, you must have the necessary Hubspot permissions (Administrator).
Configure Hubspot synchronization
➡️ Start synchronizing Hubspot by clicking on "Not in sync" (1)
You are only 4 steps away from finishing the connection! 🙌
➡️ Step 1: Synchronization type
You can synchronize your entire CRM with ZELIQ, or only specific lists if you already have them set up in your Hubspot. Regardless of the type of synchronization you choose, you can add exclusion rules before launching your first synchronization.
👉 List synchronization in Hubspot: If you sync a list, you'll be able to pull contacts, but not to push the data creation to Hubspot.
If the contact is synced from Hubspot to ZELIQ via a list sync: if this contact is enriched, and the sync rules are bi-directional, the enriched data will flow back into Hubspot.
If the contact is synced via a list, but a duplicate also exists in Zeliq (perhaps because it wasn't recognized, or because the duplicate already existed before the sync was launched): in this case, if it's the duplicate that's enriched but the first contact was synced with Hubspot, then the information won't appear in Hubspot.
💡 As the synchronization rules cannot be retroactive, for the first synchronization, we recommend importing a list with a small number of leads to ensure your configuration matches your needs. Then, later, activate global synchronization.
➡️ Step 2: Push settings
You can change your push settings at any time to define which entities can be created in your Hubspot.
Push settings only work if you synchronize your all CRM.
You won't be able to push contact creation in lists only.
You can synchronize the following information between Hubspot and ZELIQ :
Contact information
Company information
Calls
Emails
Notes
🚨Previously created entities will not be deleted if you disable the push settings.
➡️ Step 3: Mapping rules Hubspot <> ZELIQ
Recommended Practices
🍬 Custom Fields
Create custom fields in Hubspot to map specific data like the contact owner or a ZELIQ list. (FAQ below)
Make sure these fields are set as “single line text” (not multi-select, date, etc.).
Set up a workflow in Hubspot to automatically populate these custom fields.
🍬 Sync Direction
Use bidirectional sync for key fields such as first name, last name, and company name.
For the email field, also use bidirectional sync to prevent duplicates.
For phone numbers, map ZELIQ’s "Enriched Phones" field (from the “Push-only fields” section) to a custom Hubspot field and sync from HubSpot to ZELIQ to avoid overwriting existing data in HubSpot.
🍬 Other Tips
Map the company domain in addition to the company name.
Pay attention to the status field sync — they’re often underused but very helpful for organizing your outreach in ZELIQ.
Document your initial configuration carefully — it’ll make future adjustments much easier.
There are three mappings to be made: contact, company, and status.
Contact:
There are three mandatory properties to consider: First name, Last name and Company name. These mandatory properties should all be in the "Bidirectional" synchronization type.
→ To ensure a mapping that is working, we've set the Hubspot Company Property to be mapped with "Primary Associated Company" (the right Hubspot field).
→ If a ZELIQ property does not exist and it is important to you, then you can create custom fields in the ZELIQ properties and then allocate the suitable Hubspot field in the middle column.
→ The mapping can be modified, but it is not retroactive. Leads imported before the update will not be impacted by the modification.
Company:
🚨 There's one mandatory property to take into consideration for companies: “Name” must have a synchronization rule with “Company Name”.
→ We also recommend adding synchronization rules for the “Domain” and “Rich Website” fields, for greater precision in your Hubspot.
Status:
This section allows you to map statuses and standardize them between ZELIQ and Hubspot. In this case, make sure to select your main status, which will be the value sent to your Hubspot account when a synchronized prospect is updated. Make sure to map all the states you use in Hubspot during this step.
For now, ZELIQ does not allow the creation of custom statuses, but you can select multiple statuses from your Hubspot account and associate them with a unique status in ZELIQ.
➡️ Step 4: Exclusion rules
You can modify your exclusion rules to filter what you synchronize from Hubspot to ZELIQ. Adding exclusion rules will not remove entities previously synchronized with ZELIQ, but removing exclusion rules will synchronize the previously filtered entities.
🎉 Your Hubspot account is now connected to ZELIQ 🎉
Good job ⚡️
FAQ
1. My synchronization is “in progress”. How do I know if it's working?
The status “Synchronization in progress” confirms that the connection is active. You're on the right track.
2. Which Hubspot custom fields can sync with ZELIQ?
If you want to synchronize fields that you have in your Hubspot but not in ZELIQ (yet 😉), you can add "Custom Properties".
For them, you need to distinguish between "string of characters" and "multiple-choice lists".
👉 If the Hubspot Custom Property you want to synchronize with ZELIQ is a string of characters (free text field), you will be able to modify it either in ZELIQ or in Hubspot.
👉 If the Hubspot Custom Property you want to synchronize with ZELIQ is a multiple-choice list, you can modify the field only in Hubspot, but not from ZELIQ. Once modified in Hubspot, you'll see the update in ZELIQ but you won't be able to modify it from the platform.
3. How can I map the “Contact owner” field from HubSpot to ZELIQ?
On Hubspot, the “Contact owner” field is stored as an ID (a string of numbers); if you map it as it is to ZELIQ, you'll only see these IDs - not the owners' names.
👉 The solution: create a new custom field in Hubspot (type: single line of text) and populate it with the owner's name. You can then map this field to ZELIQ for clear, straightforward reading .
Here's how to do it:
Create the custom field on Hubspot: type “ZELIQ owner”.
2. Create a custom field on ZELIQ: type “Hubspot owner”.
3. Create the workflow in Hubspot so that the “Contact owner” field (native field on Hubspot) is automatically copied to the customized “ZELIQ owner” field on Hubspot as soon as it is known:
4. Map the ZELIQ custom field “Hubspot Owner” to the Hubspot custom field “ZELIQ Owner” with the Hubspot to ZELIQ synchronization rule.
5. Test your Hubspot workflow by changing the “Contact owner” property on Hubspot, for example, and checking that the “ZELIQ owner” custom field on Hubspot is updated.
💡 In your “All prospects” tab, use the custom “Hubspot Owner” filter to organize your prospecting pipeline.
4. How can I map the “Assigned user” field in ZELIQ to the “Contact owner” field in HubSpot?
You need to go through several steps to achieve this!
Create the “ZELIQ Owner” field on Hubspot as described in question 2 of the FAQ above.
On ZELIQ, in the “Advanced fields only” section, select “Assigned user” and match it with the “ZELIQ owner” field on Hubspot.
The synchronization rule must be “ZELIQ to Hubspot”.
3. On Hubspot, create the workflow so that the “ZELIQ owner” field copies itself into the “Contact owner” field once known (e.g. “Contact owner” native to Hubspot).
N.B.: you need to repeat this automation for each ZELIQ license in order to assign the contact correctly in HubSpot.
4. Test your Hubspot workflow by adding a new prospect to ZELIQ, for example.
5. What if my Hubspot contacts already have emails or phone numbers, and I enrich them with ZELIQ??
It all depends on the mapping and synchronization direction you've defined.
➡️ Case 1: You map ZELIQ Email to Hubspot Email
If the synchronization is ZELIQ → Hubspot or bidirectional, the ZELIQ data will replace the Hubspot data.
Useful if you want to update your existing info with fresh data.
➡️ Case 2: You don't want to overwrite existing data
Create custom fields in Hubspot, for example: ZELIQ enriched email and ZELIQ enriched phone.
Then, map the ZELIQ Email and Phone fields to these custom properties.
✅ The advantage: you keep the original data and view the enriched data, which is clearer, safer, and cleaner.
