Stock In a Vehicle When the VIN Doesn't Decode

Discover how to stock in a vehicle when the VIN doesn't decode.

The following steps guide you through stocking in a vehicle when the VIN doesn’t decode properly:

1. From the Gate app main menu, click on Stock In (see Figure 1).

2. Scan the VIN or stock sticker or click on the pencil icon to manually enter or search for the VIN (see Figure 2).

If you prefer to manually enter the VIN, click on the pencil icon and then use the keyboard to enter the information. You can enter the full VIN or search for the VIN using its last six or eight digits (see Figure 3). When you’re done entering the VIN, click on Save.

3. If you have a Bill of Lading (BOL) to scan, click on Scan All; if you don’t have a BOL, click on Done.

4. If you clicked on the Scan All button in the previous step, scan the BOL; otherwise, proceed to the next step.

If the VIN or BOL doesn’t scan, click on the pencil icon and manually enter it. Remember: It is important that you scan the BOL. The BOL controls the auto-posting of transport fees and arrives the vehicle in CarsArrive. If you think there should be a BOL and there isn’t one, contact Transportation to double-check. 

5. Click on Type (see Figure 4).

6. Select the vehicle type from the list that appears.

7. After you select the vehicle type, click on the Back arrow (see Figure 5).

The following table explains each vehicle type.

8. Click on Vehicle (see Figure 6).

9. Click on Year (see Figure 7).

10. Choose the year or enter a custom year if the vehicle is older than 2010 (see Figure 8); click on the Back arrow when finished.

Tip: The tenth digit of the VIN should give you the year of the vehicle. Don’t rely solely on the manufacturer date.

If the vehicle is older than 2010, enter the year. Be careful to avoid typos.

11. Click on Make and then select the make from the list or enter a custom make (see Figure 9); click on the Back arrow when finished.

12. Click on Model to choose the model (see Figure 10); click on the Back arrow when finished.

If you enter a custom make, enter a custom model (see Figure 11).

13. Click on the Back arrow again to return to the Stock In page (see Figure 12).

14. Click on Trim to choose the trim or enter a custom trim (see Figures 13 and 14); click on the Back arrow when finished.

The remaining steps are the same as when you stock in a vehicle with a VIN that decodes.

15. Click on Exterior Color and choose the color from the list (see Figure 15); click on the Back arrow when finished.

16. Click on Doors and choose the number of doors (see Figure 16); click on the Back arrow when finished.

17. Click on Odometer and enter the odometer reading (see Figure 17); when finished, click on the Back arrow to return to the Stock In page.

Make sure that the Odometer Unit of Measure is correct.

18. Adjust the Arrival Date, if needed.

The Arrival Date defaults to the current day. If you need to change the date, click on Arrival Date and choose the correct date from the calendar. A valid Arrival Date is any date within the past 30 days.

19. Click on Key Type (see Figure 18).

20. Select the key type from the list that appears and then click on Done.

You have three choices, as shown in Figure 19.

21. Click on Owner. 

The Owner area, shown in Figure 20, displays the owner information. If you don’t see the Owner info, you can search all owners.

22. Verify that Inspect is toggled on, if an inspection is needed.

23. Verify the information in Customer Details.

This area lists the customer’s name, address, AAID #, and code.

24. In Customer Options, set a floor price, if known, or change or add a photo package, if needed.

25. In the Supplemental Information section, click on Vehicle Details (see Figure 21).

26. In Vehicle Details (see Figure 22), enter any information that you typically do, such as the body style, interior color, and manufacturer code; click on the Back arrow when finished.

27. In Options (see Figure 23), verify and add options as needed; when finished, click on the Back arrow.

If you see None, then the information did not decode. To add an option, click on the line item and add each one as needed. If the information successfully prepopulated, verify the options are correct.

28. In Supplemental Information, click on Lights (see Figure 24).

You can choose the Guarantee Light and the Warning Light.

29. Enter any Unit Notes.

Any information you enter in Unit Notes will show up in Vehicle History in AMS.

30. Enter Repair Orders.

In Repair Orders, you can select the canned jobs already set up in V-TRACE (see Figure 25).

31. If the vehicle has personal property, select the Contains Personal Property check box and list the personal property (see Figure 26).

32. Select the type of announcement you want to enter and then select the appropriate check boxes.

You can enter the following announcements (see Figure 27).

  • Vehicle announcements: Major announcements that will stay with the vehicle

  • Inventory announcements: Announcements that will show only when the vehicle is checked in and that do not follow the car

  • Custom announcements: Text that you enter

33. Click on Stock In Vehicle.

The vehicle is stocked in (see Figure 28).
