Send a Repair Estimate to a Customer

Use Repair Quotes to send an estimate.

An automated estimate process in the Inspections Portal means that you no longer need to manually fill out and upload estimate templates to AutoIMS. The new Repair Quote transmission standardizes the Repair Quote process and minimizes the amount of manual work auctions must perform. Auctions will no longer need to accumulate suggested, approved, and repaired damages into an Excel spreadsheet (template) that is uploaded directly to AutoIMS as an attachment for customer review, although doing so is still an option for some auctions.ย 

The following steps walk you through the process of sending a repair estimate to a customer using Repair Quotes.

1. Select the suggested repair box on items that need uploaded for approval.

To select the repairs to be sent to the customer, select the box to the right of the S, and a green check mark appears (see Figure 1).ย 

2. Move the vehicle to the Pending Approval workflow.

You can move the vehicle to the Pending Approval workflow in several ways:

  • Scroll to the bottom of the screen and select Pending Approval (see Figure 2).ย 

  • Select the Workflow button located at the bottom right of the floating header. In the window that appears, select Pending Approval (see Figures 3 and 4).

The estimate transmits to AutoIMS where the customer can review it.

Remember: Although moving the workflow to Pending Approval may initially seem link an extra step, you will save time down the road when using V-TRACE automation because the work will automatically appear in V-TRACE.

Tip: If the vehicle is currently in the Pending Approval queue and needs another estimate or updated price sent, select the Submit CR button to trigger the message to be sent to AutoIMS (see Figure 5).Any notes showing in the Overall Notes field will appear in general remarks in AutoIMS.

Remember: Even if the customer requires that you upload the template instead of using the repair quote, you can still use the Inspections Portal Workflow. If you are using tags, then someone will set the tag to notify the other user that the estimate is ready to be sent. The person responsible for sending the estimate would then remove the Send Estimate tag when the template is uploaded and the vehicle is moved to Pending Approval.
