Order Parts and Complete Repairs

Use the Repair Order Status Dashboard to keep track of parts and repairs.

If your auction uses V-TRACE, service and parts requests will automatically appear in the Repair Order Status Dashboard. You can see the number of vehicles requiring parts in the Total number of records created with parts box. The number of vehicles requiring service appears in the Total number of records created box. In Figure 1, you can see that 397 vehicles require service, while 35 vehicles need parts.

If parts are needed to complete repairs, you can source them from your existing stock or place an online or phone order. The following steps walk you through the process of ordering parts:

1. Click on the RO/RI Dashboard button, shown in Figure 2, to display the Repair Order Status Dashboard. 

3. From the list of vehicles that appears, select the vehicle you’d like to order the parts for (see Figure 4).

4. On the V-TRACE Repair Order page, select the correct repair item from the Item Comment area (see Figure 5) and then click on the Parts button.

The Parts Information window appears (see Figure 6). The Part Number and Part Description appear in the window. 

5. Enter the vendor and date ordered and click on Close.

6. If your auction is using tags to communicate, go to the Inspections Portal and remove the Part Approved tag and add the Part Ordered tag.

7. When the part arrives, go to V-TRACE and add the date the part was received.

You can do so by selecting Maintain RO and searching by either the VIN or stock number to pull up the RO. 

8. Distribute the parts to the appropriate technicians so that they can complete the approved repairs.
