After you create a report, you’re ready to reconcile inventory. (For details on how to create a report, see the document “Create an Inventory Report” in the Help Center.) When the build of your report is complete, you see a summary of the report at the bottom of the Report Builder window, as shown in Figure 1.
All vehicles will fall into one of two categories, which also appear as tabs at the top of the report:
Inventory
Vehicle Exceptions
The Vehicle Exceptions tab is where you will spend most of your time during the reconciliation process.
Vehicle Exceptions tab
The Vehicle Exceptions tab contains all the vehicles that haven’t been located within the time period that you selected during the report creation. For example, if you selected Last 7 Days, then the list will include every vehicle that AuctionTrac knows to be in inventory within the last seven days.
The following steps walk you through the process of reconciling your report:
1. Click on the Vehicle Exceptions tab.
A list of vehicle appears (see Figure 2).
All vehicles in the Vehicle Exceptions tab begin in a state of [not set] until you either mark them as Keep or Remove. You will need to go through each vehicle in the list and indicate whether it’s in inventory by marking it as Keep or Remove.
2. Click in the Add/Remove column next to the vehicle.
A drop-down arrow appears, as shown in Figure 3.
3. Click on the arrow to display a drop-down list, as shown in Figure 4.
4. Select Keep from the drop-down list if the vehicle is inventory or select Remove if the vehicle isn’t in inventory.
Tip: If you’re marking a vehicle as Remove, we suggest that you provide a note of explanation.
5. (Optional) If you’re marking a vehicle as Remove, click in the Notes column and type a reason in the text box that appears (see Figure 5).
For example, you might say, “Checked-out on 7/1/2019” or “Incorrect data updated in AMS.”
For details on completing the report, see the document "Complete the Inventory Report" in the Help Center.
Inventory tab
The Inventory tab, shown in Figure 6, includes vehicles that AuctionTrac automatically marked as being in inventory. The vehicles in this list are populated based on the time length you selected when you created the report. You should review this list for anything that could be a potential error. You can correct any errors in the same way that you mark a vehicle as Remove in the Vehicle Exceptions tab. (See the preceding section for details.)
