In AMS, you can email a vehicle release form to an existing email address in the representative’s account or an additional recipient. The same payment and overrides apply. (You can update email addresses only in Auction Access.)
The following steps walk you through the process of emailing a gate pass:
1. Choose Function → Sale → Gate Pass Management from the menu, as shown in Figure 1.
The Gate Pass Management window appears (see Figure 2).
2. Type a customer number in the Customer # box and press Enter.
A list of the customer’s vehicles appears (see Figure 3). If an email icon appears next to the VIN, you are able to email a gate pass to the customer.
3. Select one or more vehicles in the list and then click on the Email button in the toolbar (see Figure 4).
The Email Gate Pass window appears.
4. Click on Select Address (see Figure 5).
A list of authorized representatives and their email addresses appears.
5. Click on the representative who you want to email the gate pass to (see Figure 6).
Remember: You are not able to enter an email address. You can only choose from existing representatives and emails. If you select a rep who doesn’t have an email address, a warning message appears (see Figure 7).
6. Click on Select.
You return to the Email Gate Pass window. The selected email address appears in the E-Mail Address text box (see Figure 8).
7. Click on OK.
Your email is sent. Note: Although you don’t get a read receipt for the email, a window appears to alert you that the pass was sent successfully (see Figure 9).
