An arbitration fee is a standard fee charged to a buyer or seller any time an arbitration occurs. AMS automatically charges arbitration fees to vehicles. Each auction sets up its own arbitration fee on level 99, even if the price is set to $0.00. No other pricing level option exists.
The following steps walk you through adding an arbitration complaint:
1. In AMS, choose Function→Vehicle→Arbitration (see Figure 1).
A list of vehicles in arbitration appears.
2. Click on the New button on the toolbar or choose Arbitration→Add in the menu (see Figure 2).
The Vehicle Search – Add to Arbitration window appears (see Figure 3).
3. Find the vehicle by entering one of the following: the last six characters of the VIN, the full VIN, stock number, or a combination of any two fields (for example, sale date and run number).
A list of matching vehicles appears (see Figure 4).
4. Double-click on the vehicle (see Figure 5).
The Vehicle Arbitration page, shown in Figure 5, appears.
5. From the Assigned Complaint 1 drop-down list, select a reason for the complaint (see Figure 6).
6. From the Valid Complaint drop-down list, choose whether the complaint is valid.
Your choices include Undetermined, Yes, or No (see Figure 7).
7. Enter details about the complaint in the Complaint Notes field.
8. To add each additional complaint, click on the Add button and repeat Steps 5, 6, and 7 (see Figure 8).
9. Select the Primary Complaint check box next to the main complaint (see Figure 9).
Tip: You can see which complaint you’re on by looking at the right side of the window. For example, in Figure 9, you can see that you are looking at complaint 1 of 1.
10. When you’re done adding all complaints, click on the Save button, shown in Figure 10.
Remember: When the arbitration is resolved, you’ll need to go back to the Vehicle Arbitration page and add a resolution. An arbitration fee will automatically post when the arbitration is successfully ended.
