Auto-Post Arbitration Fees

Initiate the auto-post process.

An arbitration fee is a standard fee charged to a buyer or seller any time an arbitration occurs. AMS automatically charges arbitration fees to vehicles. Each auction sets up its own arbitration fee on level 99, even if the price is set to $0.00. No other pricing level option exists.

To initiate the auto-post process, the arbitration must be resolved. An arbitration fee will automatically post when the arbitration is successfully ended. The following steps walk you through adding a resolution and initiating the auto-post process:

  1. In AMS, choose Function→Vehicle→Arbitration (see Figure 1).

A list of vehicles in arbitration appears (see Figure 2).

2. Double-click on the vehicle you’d like to add a resolution for.

The Vehicle Arbitration window appears (see Figure 3).

3. From the Resolution Reason drop-down list, select a reason (see Figure 4).

Resolution reasons may include

  • Good Sale: There are no adjustments, voids, or concessions.

  • Voided Sale: The sale is voided, and the car is available to be in another sale.

  • Price Adjustment: The seller will give a concession to keep the car sold to the buyer.

  • Goodwill Price Adjustment: The auction will give a concession to keep the car sold to the buyer.

  • Inherited Unit: This option keeps the car sold for the seller but relieves the buyer of the car.

4. Select who is responsible for the resolution from the Resolution Responsibility drop-down list (see Figure 5).

If you choose ADESA or Seller/ADESA Split, you will need to complete additional information, as shown in Figure 6.

5. From the Fee Charged To drop-down list, select who the fee will be charged to: Seller, Buyer, or No fee.

Warning: You must choose one of the three options in the drop-down list (see Figure 7), or you will receive an error.

6. (Optional) Enter a reason for not charging the fee in the Resolution Notes (see Figure 8).

Tip: Best practice is to put a reason for not charging the fee in the Resolution Notes if it is a customer who you would normally charge an arbitration fee.

7. If you have special pricing for any of your customers, edit the fee in the Charge window or select No Charge during the auto-post and manually post the correct the fee amount in the Charge page.

A standard 99 fee is automatically charged to the vehicle when the arbitration is ended. If you have special pricing for any of your customers, the fee will need to be corrected (edited). For details, see the “Edit the Arbitration Fee” documentation on the Hub.

8. End the arbitration by clicking on the End button in the toolbar (see Figure 9).

The fee will post when the arbitration is successfully ended.

The Arbitration tab in Vehicle information will show who the arb fee was posted to (see Figure 10).

In addition, the Arbitration Report will show the amount of the fee and who it was charged to.
