Manage Bookings

This tutorial shows how to view & update bookings & reservations. Edit customer contact details, give refunds & move bookigns to new events.

Every time a booking or reservation is made, both you and the customer will receive a confirmation email in your inbox (exception: when un-check the box the box above the customer name to send them and email). 

You can click the Manage Booking link on the automated confirmation email sent to you for quick access to the correct Event page, or you can view a booking by looking up customer names in the Clients tab.You can also access bookings on the Home Calendar if you know which event the booking is contained within.


How to View & Manage Bookings (options)

A) Click the Manage Booking link sent to your inbox.

B) Access Clients and search a booking by customer name.

C) Click an event directly on the Home calendar.

What you can manage and update: 

  • Customer name, email and phone number.

  • Notes for a specific customer booking. 

  • Move the customer booking to a new event on a different date and time.

  • Update reservations and process their credit card information using the credit card online payment option. 

  • Issue a refund to clients who paid online with their credit card. This includes back-end bookings that you or staff entered, using the credit card online payment option. 

  • Check customers in for the event.

What you cannot manage and update:

  •  You cannot adjust the number of attendees within a specific booking. You will need to either Add a New Booking or issue a partial refund and adjust the Occupancy level for the event by clicking the pencil icon beside the event name.

  • You cannot update the payment method. When you are entering a back-end booking, if you do not have the customer credit card information to charge them immediately, we recommend you make a Reservation. This way you can select the correct payment method when the customer is with you.  

  • 🔑 Tip

You can view your booking cards in two different views: List + Card. Click the icons located on under the Add Booking button to switch between views :)
