Dashboard & Inbox: managing your queue and emails

How to navigate your dashboard tabs, read queue statuses, and work with the dedicated Auto Apply inbox. Also covers email categories, forwarding, and the Answer Library.

How does the dashboard work?

Your dashboard shows all the jobs that have been suggested for you, organized across two tabs:

  • Quick Review — where you approve or decline new recommendations one by one.

  • Your Jobs — where you can browse and track all jobs Auto Apply has found, filtered by status:

    • All — every job Auto Apply has found for you.

    • Review Matches — jobs waiting for your action.

    • Applied — jobs where an application has been submitted.

    • Declined — jobs you've declined.

Tip: Use the Quick Review tab for faster processing. Press the right arrow to apply, or the left arrow to decline — moving through your queue quickly.

You can also pause your queue at any time from the Your Jobs tab using the "Pause" button. To resume, click "Start".

How do I see the documents submitted on my behalf?

You can review every application that was submitted for you directly from your dashboard:

  1. Go to your Auto Apply dashboard and click "Your Jobs".

  2. Open the Applied filter and select the job you want to view.

  3. You'll see three tabs:

    • Overview — the job description and key details.

    • Job fit — how the role matches your criteria and why.

    • Review — the resume and cover letter used, plus any questions answered during the application.

  4. Click the "Review" tab to find the documents submitted on your behalf, along with credentials for any employer accounts created during the application.

You can also find the direct job link from this view. If you notice any job application that seems suspicious or unrelated to your preferences, report it to the AIApply support team for investigation.

Editing an application before it's submitted

While a job is being processed, its application goes through two statuses:

  • Preparing to Apply — the application is being set up and is still editable. During this window, you can change the resume or cover letter used for that specific application.

  • Applying Now — the application is being submitted. Once a job reaches this status, the resume and cover letter can no longer be modified.

You have two ways to edit an application while it's still in Preparing to Apply:

  • From the notification — you'll receive a notification when an application is being prepared. It includes an Edit before submission button that takes you straight to the editable application.

  • From the Applied tab — open your dashboard, go to the Applied tab, and find the job you want to edit. From there you can change the resume or cover letter before it moves to Applying Now.

If a job has already moved to Applying Now, edits are locked so the submission can go through cleanly.

Queue statuses — why did applying stop?

Your queue is Auto Apply's working line for your applications. If it stops, the status tells you why.

Idle: User Inactivity

This applies to Review and Hybrid modes. It means many jobs are waiting for your approval or rejection, and no action has been taken recently.

What to do: open your queue and approve, reject, or skip pending jobs. Once you engage again, matching runs immediately and new jobs are ready in your queue right away. If it remains stuck, contact support.

Idle: No Jobs Found

The system has searched repeatedly but did not find new jobs matching your profile and criteria. After some time, the queue is marked as idle.

What to do: you'll now see specific advice on which criteria to adjust — for example, broadening your job titles, adding remote as a location option, or loosening your experience level. Follow the suggestions and save your changes to restart matching. If you already updated recently, wait for the next search cycle or contact support if your market is very narrow.

Daily Limit Reached

You've reached the maximum number of applications allowed per day. The queue pauses until the limit resets.

What to do: no action is required. The limit resets automatically each day, and applying will continue afterward.

Paused by the System

The system stopped your queue because an issue needs to be resolved before continuing. Examples include:

  • Missing required information such as your full name

  • Invalid or unreadable resume

  • Other blocking checks detected by the system

What to do: fix the issue in your profile, resume, or based on the message shown. If the reason is unclear, contact support.

Inactive Subscription

Auto Apply does not run when your subscription or access is inactive.

What to do: renew or restore your subscription or credits. If your account should be active and you still see this status, contact support.

How does the Auto Apply inbox work?

Auto Apply manages all email communication related to your applications in a dedicated inbox.

Why do you have a dedicated email address?

We apply using an AIApply email address so employers and job sites can send confirmations, one-time passwords, and login links to an inbox we manage. This keeps everything in one place so Auto Apply can carry the application through from start to finish.

What you'll see

Your Auto Apply inbox contains all emails related to your applications.

  • Messages are grouped by category and priority for easy filtering

  • Emails may be linked to a specific job when identifiable.

Note: the inbox updates when it syncs — for example, when you open it — so new emails may take a short moment to appear

How confirmations are delivered

Application confirmations arrive in one daily batch instead of throughout the day, so your inbox stays quieter and easier to review. Time-sensitive emails like interview invites, assessment requests, and OTPs continue to arrive as soon as they're received.

Scam and junk mail protection

We monitor this mailbox to detect scam messages and suspicious employers. We work to remove or flag harmful content and keep your inbox clean.

That said, stay cautious: if a message asks for payment, banking details, or sensitive personal information, treat it as unsafe and report it to support.

Email categories

Emails in your inbox are tagged by type so you can filter and prioritize easily:

  • Application confirmation — your application was successfully received.

  • Interview invite — you are invited to schedule or attend an interview.

  • Interview follow-up — updates after an interview or requests to continue an application.

  • Assessment invite — a test, task, or screening you need to complete.

  • Assessment result — feedback or outcome from an assessment.

  • Rejection — you are not moving forward or the role has been closed.

  • Hired — offer letters or onboarding-related messages.

  • OTP or verification — codes or login verification emails related to your application; we handle these for you.

  • EEO form — equal opportunity or compliance-related surveys.

  • Other — messages that do not fit the categories above.

Tip: Check your inbox regularly — especially filtering by Assessment invite and Interview invite — so you don't miss time-sensitive opportunities. To ensure you don’t miss important messages from recruiters or interview invitations, you have two options:

  1. Enable Forwarding: Set up forwarding from your AIApply inbox to your personal email.

  2. Check the AIApply Inbox: Log in to your AIApply account and check the inbox directly for updates. Both options allow you to stay updated on your job applications and communications.

Email forwarding

You can enable forwarding to receive inbox emails in your personal email address. Keep in mind that you may receive hundreds of emails, which could end up in your spam folder.

Using the AIApply inbox with tag filters is often easier to manage. If you are receiving CC copies of application emails in your personal inbox and wish to stop them:

  1. Go to the Saved Jobs section in the left navigation menu.

  2. Open Preferences.

  3. Scroll to the bottom and disable the option CC me on all emails.

  4. Click Save Settings to apply the changes. This will stop CC copies from being sent to your personal email, ensuring all communications remain in the AIApply inbox.

Where to find OTPs and verification codes

To keep your inbox clean, OTP and verification emails are automatically routed to your Deleted folder. They're still delivered, just not shown in your main inbox view.

If you're looking for a verification code:

  1. Open your Auto Apply inbox

  2. Go to the Deleted folder

  3. Find the code you need, it will be tagged as OTP or verification

This applies to codes from job sites, ATS platforms, and any employers that send login or verification links during the application process.

What is the Answer Library?

The Answer Library stores all the answers used for application questions — the custom questions many employers ask during the application process. You can find it in the Preferences tab.

Answers are added to your library in two ways:

  • By editing an answer in an application.

  • By adding it manually.

You can review and edit any answer to make sure it's accurate. The next time that question appears in an application, the updated answer will be used.

Keeping your Answer Library up to date improves the quality of your applications, especially for common questions like salary expectations, notice period, and work eligibility.
