Property Setup: Creating a New Property

Overview

We will explain the procedure for creating a property from the [Admin Console] > [Property List] > [Create Property] button.

Set up the configuration in the following order: [Property Details] → [Room Types] → [Rooms]

Create a Property

Non-mandatory fields can be configured later, so you may proceed with creation even if some items are not yet decided.

Start the process by clicking [Admin Console] > [Property List] > [Add New Property].

1) Select a Property Creation Method

There are three methods available for creating a property.

Choose the appropriate creation method based on your requirements and circumstances.

◆ For properties that are not yet listed on OTAs (Airbnb/Booking.com/Expedia)

◆When no OTA channel is connected to AirHost

◆For users preparing for initial setup support

Select [new property from scratch], then click [Next].

If you want to duplicate a property that has already been created

Select [Duplicate an existing property], then click [Next].

◆ If you already have a property listed on an OTA (Airbnb/Booking.com/Expedia) and have added an OTA channel to your Airhost account

Select [Import property from OTA channel], choose the channel and property to import, then click [Next].

A channel must be created in advance.

By importing available property data automatically, this process reduces manual input and simplifies setup.

💡 For single-inventory properties (apartment type), we recommend importing from the Airbnb channel.

⚠️ For multi-inventory properties (hotel type), importing from Airbnb is not available.

Please import from Booking.com or Expedia instead.


2) Set Basic Property Information

Configure the basic information of the property.

Property Name

Set the internal management name of the property. The name set here will not be displayed to guests.

Property Type

Select based on the type of inventory. Even if the property is an apartment, if you manage two or more rooms of inventory within a single property, please select Hotel.

⚠️ The selected Property Type cannot be changed later. If you need to change it, please contact the support desk and include the property name in your request.

Hotel, B&Bs, and more

2 or more rooms of inventory

Apartment

Only one room available (e.g., entire building rental or short-term rental).

Property Category

Please select the most appropriate category. This is not a mandatory field, so it can be skipped if not applicable.

Address / Building Name

Register the property address.

The [Display Address] is used in guest messages and automated messages to show the property address in different languages. The entered value will be inserted into the [Property Address] variable tag. The [Building Name] field is optional.

⚠️ If the property is registered with Google Business, the address will be automatically reflected.

If it is not registered with Google Business, the address may not be reflected correctly or the map pin may not be placed accurately. In that case, please set the location as close as possible to the correct position.

Currency

Select the currency used by the property from the list.

⚠️ The currency set for the property must match the currency settings on all connected OTAs.

If different currencies are used, it may cause issues such as pricing display errors or reservation import errors.

Contact Information

Enter the property’s contact details.

Contact Name

Phone

  • This is used in the “phone” tag for messages and automated messages.

  • If the Check-in option is enabled, it will be displayed as a contact number on the guest page

  • It is also shown as the default value in the “Phone” field on invoices/receipts sent to guests (can be changed).

Email

  • It is shown as the default value in the “Email” field on invoices/receipts sent to guests (can be changed).

Check-in / Check-out Time

Please enter the property’s check-in and check-out times.

Booking Rules

Set the reservation rules for the property.

Max Booking Window

Set the period of inventory synced to OTAs (sales period from the current day onward).

Example: To sell up to 3 months from today → select 90 days

⚠️ For Airbnb, the setting under [Content Management] > [Booking Availability Period] takes priority.

Checkin Turnover Days (Buffer Days Before/After Reservations)

This setting is used when a certain gap is required before and after each stay (commonly used in vacation rental operations).

If no gap is required, set this value to 0. When configured, blocked days will be automatically created before and after each reservation.

Prior to Check-in / After Check-out

💡 This setting is used for properties that utilize the Check-in Option and IoT smart lock integration.

Depending on your operational policy, you can configure this setting to allow flexibility in access timing. For example, if you want to allow self check-in even when guests arrive 1 hour earlier than the stated check-in time, or extend smart lock access for cases such as returning to collect forgotten items after check-out, you can define the allowable access window before and after stay times.

Example

  • Property check-in time: 16:00

  • Property check-out time: 10:00

  • Before check-in: 60 minutes

  • After check-out: 60 minutes

Result

  • Automated messages: Guests will be informed of the property’s check-in and check-out times

  • Self check-in: Available from 15:00

  • Smart lock: Access is allowed from 15:00 on check-in day until 11:00 on check-out day

3) Set Room Types

Configure the Room Types. (These can be edited even after registration.) By default, a room type called “Standard Room” is already created. Please edit this as your first room type.

Click the [...] button next to the room type name, then select [Edit Room Type] to make changes.

Basic Information

Change the default [Internal Name] from “Standard Room”.

Below it, set the [Room Type Name], which is the name displayed to guests.
You can configure it in multiple languages.

Booking Settings

Booking style

Select either:

  • Nightly Booking

  • Day Booking

Room style

Select from:

  • Regular Room

  • Dormitory

  • Connecting Room

*Normally, select Regular Room.

Check-in

Select the check-in time.

*By default, the property’s check-in time will be applied.

Checkout

Select the check-out time.

*By default, the property’s check-out time will be applied.

Room settings

Occupancy

Enter the maximum number of guests allowed (maximum occupancy).

Bedrooms

Enter the number of bedrooms.

Bathrooms

Enter the number of bathrooms.

Room size

Enter the total room size in square meters (m²).

Minimum price

Set the minimum price to be synchronized with OTAs and the Booking Engine.

When managing rates, it will not be possible to set a price lower than this value.

This helps prevent accidental pricing errors and underpricing.

* The minimum price cannot be set below 900 JPY.

Cleaning fee

This setting is only synchronized to the following platforms:

  • AirHost Booking Engine

  • Vrbo

  • Google Hotel / Vacation Rental

For other OTAs where you want to set cleaning fees separately, please configure them directly on the OTA side.

For OTAs that do not support cleaning fees (e.g. Jalan, Rakuten Travel), please include the cleaning fee in the base rate of the synchronized rate plan.

Bed configuration

You can set the types and number of bedding available in this room type.

Photos

You can upload multiple photos for the room type.

4) Add a room type

If the property has two or more room types, you need to create additional room types.

Click [Add New Room Type], enter the room type name and room numbers, then click [Add].


5) Set Rooms (Room Numbers)

Set up rooms (room numbers) linked to each created room type. By default, one room “101” is created for each room type.

Please edit this as your first room. Click the [...] button next to the room type name, then select [Edit Room Unit] to make changes.

Key Instruction URL

Set the text that will be automatically inserted when the [key] tag is used in messages or automated messages.

This can be used to provide instructions for key handover for each room (commonly used in vacation rental properties).

If you do not use this feature, no input is required.

Key Code

Set the text that will be automatically inserted when the [lock_code] tag is used in messages or automated messages.

This can also be used to provide room-specific key access instructions.

  • Only numbers and letters can be entered

  • If using IoT lock integration, or if not using this feature, no input is required

Room Manual

Set the text that will be automatically inserted when the [room_manual] tag is used in automated messages.

This is used when each room has a different manual instead of a property-wide guide. If not used, no input is required.

Is this a Composed Room?

Enable this option when managing combined inventory such as connecting rooms, and specify the included rooms.

When a booking is made for a child room, the parent room inventory is automatically closed. Likewise, when a booking is made for the parent room, all child room inventories are automatically closed.

6) Add Rooms

If a room type has multiple room units, click [Add Room Units in Bulk], enter the room numbers, and then add them.

Enter room numbers in the field. By pressing Enter, you can add multiple rooms in bulk.

💡 Although it is labeled as “room number,” you can enter not only numbers but also text.
