[Channel] Creating and Synchronizing "Rakuten Travel" Channel

Overview:

This guide explains how to create a channel using the [Admin Console] → [Channel] → [Add Channel] button and outlines the specifications and points to note for synchronizing with Rakuten Travel.

⚠️Important

Starting June 30, 2025, the login method for the Rakuten Travel management screen will change from the current method.

The login method will be unified with "Rakuten for Business (hereinafter referred to as "RFB")."

As a result, you will need to register your RFB login information (ID/password) to link your account.

If you have not yet registered an account with RFB, please register as soon as possible. (*)

After that, please set your RFB account information to Airhost's Rakuten Travel Channel information.

How to set it up

*Rakuten Travel has sent an invitation email to the registered email address of each facility. Please register your account using the URL in the email.

Advance preparation

1) Check your RFB login information

Please check your login ID (email address) and password from the RFB login page .

Your login ID (email address) is the email address where you received the RFB invitation.

If you have forgotten your password, please reset it by clicking "Forgot your password?".
*If you do not know your login information, please contact Rakuten Travel directly.


2) Check the date display settings

Please set the date display on Rakuten Travel to the following format.

Reservations will not be imported if they are in any other format than those listed below.

Date display

Please set it to one of the following:

[YYYY-MM-DD]

[YYYY/MM/DD]

[YYYY.MM.DD]

Time display

[TT:MM:SS]

Setting location

For the old management screen

  1. [Billing management/Other
    ]


  2. [Administrator Page Customization] > [Date Display Settings]

3) Register and set the room type

Please register and set your room type on Rakuten Travel.


Channel creation procedure

Once the preparations are complete, you can begin adding channels.

  1. Add a channel

    Admin Console > Channels > Add a Channel

Setting channel information

Set the channel type to [ Rakuten Travel ] and click [Next]
.


Enter your account name and RFB login information and click [ Next ]. [
Name] : Your account name [ RFB Username ]: Your RFB login email address (or login ID)


■ [ RFB Password ]: RFB login password

■ [ Facility ID ]: Facility
number

⚠️Please also enter your login information for the old admin page.
Currently, RFB connections are unstable, so we are registering login information for the old admin page and connecting via that.
Therefore, if you do not have login information for the old admin page, it may be difficult to connect at this time.

We apologize for the inconvenience, but if you do not have login information for the old management screen, please request it from Rakuten Travel.

  1. Verify that the venue/room type was imported

    A short time after creating the channel, Rakuten Travel properties will be imported.
    Click the [+] to the left of the imported property to check if the room type has been imported.

Automated Messages

Character limit

Due to restrictions imposed by Rakuten Travel, there is currently a limit to the number of characters that can be sent in an automated message.
If a sending error occurs, it is technically difficult to retry sending, so

For properties using Rakuten Travel, please set the length to 750 characters or less
. If the document URL is long, please use a shortened URL or other method to shorten it.

About package reservations

Additionally, Rakuten Travel does not allow direct contact regarding package reservations.

For this reason, you will not receive automated or manual messages regarding package reservations .


Price Sync

Cleaning fees

Rakuten Travel does not allow you to set a separate cleaning fee.

Therefore, the cleaning fee set for the room type will not be synced to Rakuten Travel.

Please adjust using the price synchronization multiplier, or turn off price synchronization and adjust using Rakuten Travel.

Differences in fee synchronization methods depending on fee format

Rakuten Travel offers two pricing options for each room type:

  • Price per person

  • Price per room

If "Price per person" is set

The price per person will be synchronized.

If the "Number of people accepted" is 6 or more,

Rakuten Travel's price calendar only allows you to set prices for up to 5 people,

As per Rakuten Travel's rules, the price per person for a group of 5 will be added to any group of 6 or more.

If set to "Price per room"

The room type's maximum occupancy rate will be synced.


Regarding automatic closing settings on Rakuten Travel

Rakuten Travel's liquidation settings are relatively simple, automatically setting inventory to 0 after the liquidation date and time has passed, and once inventory is set by the site controller, reservations will resume being accepted.

Currently, AirHost and Rakuten Travel support is limited to one-way inventory and price synchronization.

Settings such as closing on Rakuten Travel are not loaded into AirHost.

Please note that if there is any inventory remaining on AirHost, it will be overwritten even after the closing date and time.

AirHost ensures that the correct inventory and prices are synchronized across all OTAs.

In addition to on-demand synchronization, which updates only the relevant date when inventory or prices change, we also perform regular synchronization of all dates every day at around 4 AM.

Therefore, if you set the closing date and time before 4 AM on the day, it will be overwritten during regular synchronization. When setting the closing date and time on Rakuten Travel, we recommend setting it after 7 AM on the day.


Syncing minimum and maximum stays

Regarding Rakuten Travel and Jalan, the "minimum/maximum number of nights" set in the AirHost pricing plan cannot be synchronized.

If you need to make any settings, please do so from the Rakuten Travel management menu.


About Rakuten Inbound

Currently, AirHost's price and inventory synchronization only supports synchronization with the old Rakuten Travel management page.

 

According to the "Inbound Sales Setup Manual" provided by Rakuten Travel,

The following is stated regarding price and inventory synchronization with Rakuten Inbound.

Reservation information from Rakuten Inbound will be automatically imported into Airhost as Rakuten Travel reservations.


Regarding reservations for Rakuten Travel's additional services (R-with)

R-with blocks the Rakuten Travel calendar, but reservation information is not imported to AirHost. Reservations made through R-with must be made manually on AirHost.


Handling of "Reservation in progress"

Rakuten Travel reservations are recorded as confirmed reservations in AirHost even if they are displayed as pending on the Rakuten management screen.


How do I import accommodation plans added on Rakuten Travel?

To import a newly created plan into AirHost, the accommodation plan must be in " On Sale " status on Rakuten Travel.

Please take measures such as setting higher prices to prevent bookings at unintended prices.

After changing the status to sales, please click " Update Channel " on the Rakuten Travel channel page .

💡 Importing your plan may take a few minutes.

Suddenly I can no longer connect/sync with Rakuten Travel

The Rakuten Travel password you registered may have expired.

Please check whether you can log in using the ID and password currently registered with AirHost on the old Rakuten Travel management screen. If it is time to update your password, please register it on Rakuten Travel and then register the same password on AirHost.

Then please refresh the channel.
