Overview:
This guide explains how to create a channel using the [Admin Console] → [Channel] → [Add Channel] button and outlines the specifications and points to note for synchronizing with Rakuten Travel.

⚠️Important
Starting June 30, 2025, the login method for the Rakuten Travel management screen will change from the current method.
The login method will be unified with "Rakuten for Business (hereinafter referred to as "RFB")."
As a result, you will need to register your RFB login information (ID/password) to link your account.
If you have not yet registered an account with RFB, please register as soon as possible. (*)
After that, please set your RFB account information to Airhost's Rakuten Travel Channel information.
How to set it up
*Rakuten Travel has sent an invitation email to the registered email address of each facility. Please register your account using the URL in the email.

Advance preparation
1) Check your RFB login information
Please check your login ID (email address) and password from the RFB login page .
Your login ID (email address) is the email address where you received the RFB invitation.
If you have forgotten your password, please reset it by clicking "Forgot your password?".
*If you do not know your login information, please contact Rakuten Travel directly.
2) Check the date display settings
Please set the date display on Rakuten Travel to the following format.
Reservations will not be imported if they are in any other format than those listed below.

3) Register and set the room type
Please register and set your room type on Rakuten Travel.
Channel Creation Procedure
Once the preparations are complete, you can begin adding channels.
Setting channel information
Set the channel type to [ Rakuten Travel ] and click [Next Step]
Enter your account name and RFB login information and click [ Next Step ].
[Name] : Your account name
[ RFB Username ]: Your RFB login email address (or login ID)
[ RFB Password ]: RFB login password
[ Facility ID ]: Property ID displayed on the old management screen
Name: Any name you would like to use for this account.
RFB Username: Your RFB login email address (or login ID).
RFB Password: Your RFB login password.
Property ID: The property ID displayed in the legacy management portal.
Do not create multiple channels using the same Property ID, as this may cause synchronization errors.

Verify that the venue/room type was imported
A short time after creating the channel, Rakuten Travel properties will be imported.
Click the [+] to the left of the imported property to check if the room type has been imported.

Auto Messages
For reservations made via Rakuten Travel, the auto message feature is supported.
Character limit
Due to limitations on Rakuten Travel’s side, there is currently a restriction on the number of characters that can be sent in automatic messages.
If a sending error occurs, it is technically difficult to retry the message delivery.
For properties using Rakuten Travel, please set the message length to 750 characters or fewer.
If your message contains long URLs, consider using shortened URLs to stay within the limit.
Package Reservations
For package reservations, Rakuten Travel does not allow direct communication.
As a result, neither automatic messages nor manual messages can be delivered for these reservations.
Price Synchronization
Cleaning fees
Rakuten Travel does not support setting a separate cleaning fee.
Therefore, any cleaning fee configured in the room type settings on AirHost will not be synchronized with Rakuten Travel.
To handle this, you may:
Adjust the rates using the price synchronization multiplier, or
Turn off price synchronization and manually adjust the rates directly in Rakuten Travel.
Differences in Price Synchronization by Pricing Format
In Rakuten Travel, each room type can use one of the following two pricing formats:
Per Person Pricing – Rates are set per guest.
Per Room Pricing – Rates are set per room regardless of the number of guests.
When “Per Person Pricing” Is Set
The rates for each number of guests will be synchronized.
If the maximum occupancy is set to 6 or more guests,
the Rakuten Travel rate calendar can only configure rates for up to 5 guests.
As a result, according to Rakuten Travel’s rules, the per-person rate for the 5th guest will automatically be applied to any additional guests beyond the 5th.

When “Per Room Pricing” Is Set
The rate synchronized will be the maximum occupancy rate for that room type.
Synchronization of Secret Plans
Secret Plans can also be synchronized.
For rate synchronization, configure the source rate plan in AirHost in the same way as you would for a standard (public) rate plan.
Reservation Synchronization
For reservations made via Rakuten Travel, the following information will be synchronized to AirHost:
Reservation Details: stay dates, number of guests, plan name, rate, and payment details
Guest Information: guest name and phone number
Remarks: (see details below)
Synchronization of Reservation Notes
The Reservation Notes field from the booking information is imported and displayed in the Guest Comments field.
Notes:
This feature applies only to reservations imported on or after August 26, 2025, when the feature was introduced.
For Rakuten Inbound reservations, the Reservation Notes cannot be imported due to limitations in Rakuten's system.
The guest's expected check-in time is copied to the Guest Comments field only when the reservation is initially imported. If the guest updates their expected check-in time afterward, the change will not be synchronized, so please keep this in mind.
Rakuten Inbound Reservations
Reservations made through Rakuten Inbound are automatically imported into AirHost as Rakuten Travel reservations.
Currently, AirHost supports rate and inventory synchronization only with the old Rakuten Travel management page.
According to the "Inbound Sales Setup Manual" provided by Rakuten Travel, the following details are specified regarding rate and inventory synchronization for Rakuten Inbound.
Reservations via Rakuten Travel’s “R-with” Service
The R-with service blocks the calendar on Rakuten Travel; however, reservation details are not imported into AirHost.
For reservations made through R-with, you will need to manually create the reservation in AirHost.
Handling of “Pending Confirmation” Reservations
For Rakuten Travel reservations that are displayed as “Pending Confirmation” (予約連絡中) in the Rakuten Travel management dashboard, AirHost will still import them as “Confirmed” reservations.
Notification for Reservations Canceled Immediately After Booking
If a reservation is canceled immediately after it is confirmed, no new reservation notification will be sent.
Instead, only the cancellation notification will be sent.
When Changes Are Made to Existing Reservations
If an existing reservation is modified on Rakuten Travel (such as changes to the check-in or check-out dates):
For reservations with a check-in date more than 3 days in the future, the changes are not synchronized to AirHost immediately.
Instead, updates are typically synchronized once per day during the early morning.
If a reservation has been modified, please check the reservation again after the next early morning synchronization.
Synchronization of Minimum / Maximum Length of Stay
For Rakuten Travel and Jalan, AirHost does not support synchronizing the Minimum Stay and Maximum Stay settings configured in AirHost rate plans.
If these settings are required, please configure them directly in the Rakuten Travel management portal.
Rakuten Travel Auto-Close (Inventory Stop) Settings
Rakuten Travel’s auto-close setting is relatively simple: once the specified close date and time is reached, the inventory is automatically set to 0. However, if inventory is updated later via a site controller, reservations will reopen.
Currently, AirHost and Rakuten Travel support only one-way synchronization of inventory and rates, and settings such as Rakuten Travel’s auto-close are not imported into AirHost.
⚠️ Important: If there is remaining inventory in AirHost, it may overwrite the inventory even after the auto-close time.
To ensure correct inventory and rates across all OTAs, AirHost performs:
On-demand sync: updates only the specific dates when inventory or rates change
Regular daily sync: synchronizes all dates every day around 4:00 AM
Therefore, if you set the auto-close time before 4:00 AM on the same day, it may be overwritten during the regular sync.
Recommendation: When setting the auto-close time on Rakuten Travel, schedule it after 7:00 AM to avoid conflicts with AirHost’s daily sync.
How do I import newly created rate plans from Rakuten Travel?
To import a newly created rate plan into AirHost, the rate plan must first be set to On Sale in Rakuten Travel.
To avoid receiving bookings with unintended rates, we recommend taking precautions such as setting a temporarily higher rate before making the plan available.
After changing the sales status, go to the Rakuten Travel channel page in AirHost and click Refresh Channel.
💡 Importing new rate plans may take a few minutes.

💡 Important
If a reservation is received for a newly created rate plan before the channel is refreshed, AirHost will not recognize the new rate plan.
In this case, the reservation will be imported using the default rate plan assigned to the room.
As a result, the rate plan name in Rakuten Travel and the rate plan name in AirHost may not match.
After refreshing the channel, please also verify that the rate plan mapping has been configured correctly.
Note: The rate plan information for reservations that have already been imported into AirHost will not be updated.
The correct rate plan will only be applied to new reservations imported after the channel has been refreshed and the rate plan mapping has been completed.
Unable to Synchronize with Rakuten Travel
Your RFB password may have expired.
Please log in to the RFB Login Page using the same RFB ID and password currently registered in AirHost to verify that you can access your account.
If your password has expired or needs to be updated, please update it on the RFB side, and then update the same password in AirHost.
After updating the password, please refresh the channel.
