[Check-in] Common Settings and Each Flow Definition

[Overview]

In the [Admin Console] -> [Property List] -> [Check-in Management], you can customize the display content and main operations during check-in and check-out that guests use on the 'ONE Stay App' (Web version, App version, Tablet version). This menu consists of four sub-menus: 'Common Settings', 'Pre-Check-in Flow', 'Check-in Flow', and 'Check-out Flow'. Here, you can set up the information to be collected in the guest register, whether to conduct payments, and enable self-check-in, among other settings related to check-in and check-out.

Common Settings

The 'Common Settings' page allows you to make settings common to both check-in and check-out.

[Property Setting]

Register the 'Property Image' to be shown on the guest's main menu and the 'Hotel User Agreement' to be shown at the beginning of check-in.

[Accommodation Terms and Conditions/House Rules ]

You can register the property's terms and conditions of your facility, and display the registered information during advance check-in or check-in to obtain consent from guests.

[Payment Collection Account]

Specify the payment account to be used if guests are to make credit card payments via smartphone or tablet at check-in or check-out. (If using a payment terminal at the front desk or kiosk, this setting is not necessary.)

[Security Deposit Amount]

By obtaining the guest’s agreement during pre check-in or check-in and collecting their credit card information, you can secure payment for damages, incidents, or charges that occur after checkout.

[Customise Menu]

Customize the menu displayed on the 'ONE Stay App'. You can link URLs, PDF files, POS menus, etc., to the displayed menu. Additionally, you can specify which version (Web, App, Tablet) the menu appears on and the display period.

[Promotional Banner]

Set up promotional banners to be displayed on the 'ONE Stay App' to attract attention to recommended products, services, or events.

[Chat]

Enable or disable the messaging menu in the 'ONE Stay App'. If enabled, messages from guests will appear and can be responded to within the 'Messages' menu on the dashboard.

[Display Settings on 'Hotel Services' Menu]

Specify whether to display the 'Hotel Services' menu, which shows all POS services, on the 'ONE Stay App'. Disable this menu if using customise menu to display POS services.

[AI Facial Recognition]

Enable AI facial recognition at check-in. The system can compare the passport photo and the photo taken at the facility using AI facial recognition.

[Homepage display content settings]

You can configure the content displayed on the guest-only page (pre check-in URL).
This includes whether and how to display reservation information (room type name, room name), room details, order history (POS service order history), and more.

You can also enable the call function from the front desk tablet to staff through these settings.

[Check-in URL Validity Settings]

Set whether to disable the guest-only page (pre-check-in URL) after the guest checks out.
If you enable this setting, you can specify the number of days after check-out to disable it, from 1 to 5 days.


Pre-Check-in Flow

On the “Pre Check-in Flow” page, you can configure the items to be completed during pre check-in.
Guest information and payment details collected during pre check-in will be reflected in the reservation information on the PMS.

The actual pre check-in process is explained using screenshots. Please refer to the help page below:

[Fill In Guest Information]

Set the input items for guest information. Once this feature is turned on, we cannot allow guests to complete the pre-check-in process if they have not filled out all of their guest information. (Common to both pre-check-in and check-in)

[Payment Collection]

Set whether to bill for unpaid accommodation fees during pre-check-in. Also, set whether to hold a security deposit.

[Show Instruction]

If you need to display any information after the guest completes the PreCheckin, you can set it here.


Check-in Flow

The 'Check-in Flow' page sets up what to do at the property during check-in. Guest information and payment information collected at check-in will be reflected in the reservation information on the PMS side. Also, once the check-in is completed, the check-in status will also be reflected on his PMS side.

[Can Check-in ?] - Check-in availability for each device

Set whether to allow check-ins via the web or tablet version.

If you purchase a tablet from AirHost and want to allow guests to enter the room only via "Video Check-in" on the tablet, please turn off web check-in.

[Fill in Guest Information]

Set the guest information. Once this feature is turned on, we cannot allow guests to complete the check-in process if they have not filled out all of their guest information. (Common to both pre-check-in and check-in)

[Payment Collection]

Set whether to bill for unpaid accommodation fees at check-in.

[Verify Location]

If allowing check-in using a guest's smartphone, enable this feature to perform arrival confirmation using GPS or Wi-Fi connection (App version only). 

  • a. Using GPS: Set the allowable distance (in meters) from the property address (set in property details) for arrival verification.

  • b. *Verification via WiFi Connection [Smartphone App Only]: If GPS is not available, you can verify on-site arrival via a WiFi connection. Set the target WiFi network name and password.

[Additional Verification at Check-in]

Set the items required for identity verification at check-in, such as a photo of the person.

[Video Verification]

This feature needs to be used together with AirHost's hotel product OneStaff. After turning on this feature, guests will perform video verification in the last step of the check-in process.

[Room Information]

Set whether to display the room number upon check-in completion. You can also set whether to display key information if the room is linked to an IoT lock. Once the Switch is enabled,the guest can see their room info including IoT lock Pin code.

You can show guest additional information when they have completed the Checkin process on the device.

[Show Instruction]

If you need to display any information after the guest completes the Checkin, you can set it here. Example, you can user this to display welcome messages or inform guests to collect their key card from the front desk if necessary.


Check-out Flow

The "Check-out Flow" page allows you to set the actions to be taken at checkout. Information on payments made and the checkout status will be reflected in the PMS.

[Can Checkout?]
Set whether checkout operations using the "ONE Stay App" are allowed, and whether they can be performed via the web version, app version, or tablet version.

[Payment Collection]

Set whether to charge for any unpaid accommodation fees at the time of checkout.

[Show Instruction]

Set the instructions to be displayed to guests upon completion of checkout. This can include displaying a thank you message or instructions to return the card key to the front desk if necessary.

[Smart Lock Expiring Setting]

This setting only applies to rooms with linked smart locks. When turned off, smart lock passwords will automatically expire according to the settings in [Property Details → Additional Information].
