[Reservation management] Check-in management

We will explain the functions that can be set in [Dashboard] → [Checkin Management].

When displayed in full screen, you can make settings while checking the display image of the guest's mobile screen on the right side of the screen.

About the “Check-in management” page

The "Check-in Management" page provides the functions required for daily check-in and check-out operations.

A list of reservations is displayed in the center of the page, and you can search and confirm reservations that are currently available for check-in and check-out. By clicking on the reservation name link, the reservation details will be displayed on the right side of the screen. In the reservation details, you can check basic reservation information, room information, payment status, check-in status, POS purchase details, etc.

Guest Info

If you have purchased or are using the option/check-in function,

It will be counted if the guest form is completed.

Examples:

  • 0/1 → 1 guest reserved, form not completed

  • 1/2 → 2 guests reserved, 1 completed form, 1 not completed

  • 3/3 → 3 guests reserved, all forms completed

Comment

Content entered in Reservation Details > Guest Comments
(Not the “Comments” under Reservation Details > Others)

Note: This is not the “Comments” under Reservation Details → More Options.

TODO is SET

  • Displays if there are any TODOs linked to the reservation (feature of AirHost ONE HMS Premium plan)

  • Clicking a TODO item displayed in blue text will open the TODO details in a pop-up panel on the right side of the screen.

Filter the reservations to be displayed

You can switch the reservations displayed by setting filter criteria.

Reservation site

Select the reservation site (OTA) from the drop-down menu.

*Only when the facility selection box in the upper left is set to "All facilities"

Select the property you are managing from the drop-down menu.

(You can also search by facility name or address)

Setting the order in which reservations are displayed (sort)

By setting "Sort," you can arrange the order, such as by check-in date or check-in status.


Search for a Reservations

Search by name, phone number, or room number

After selecting a date range, you can search for reservations by choosing to search by "Name," "Phone Number," or "Room Number" and entering that in the search field.

Search by Reservation ID

Switch the tab at the top of the page to "Reservation ID"

You can search for reservations by reservation number without specifying a date range, from past to future reservations.


Add a booking (Create/add a manual booking)

Click "Add New Booking" on the top right of the screen.

For detailed instructions on how to add manual reservations, please refer to the help page below.


Change the Number of Reservations Displayed

The default number of reservations displayed per page is 10.

Click "10 / page" at the bottom right of the screen and select the number of items from the pull-down menu.

You can change the number of reservations displayed. A maximum of 100 reservations can be displayed per page.


Displays icons for registered guests and guests with a history of stays

Guests with an icon displayed have a previous stay history or are being managed through the CRM feature.

CRM Member

Crown mark

  • Guest registered in the CRM (Customer Relationship Management) system

*Note: This feature is available for AirHostONE HMS Premium Plan users.

Suspected CRM Member

Crown and question mark

  • Since this guest matches the information registered in the CRM, it is recommended to link (merge) the member information.

*Note: This feature is available for AirHostONE HMS Premium Plan users.

Repeat Customer

Arrow and person symbol

Guest with a previous stay history (search range: past 3 years)


Message cannot be sent icon

Message unsendable

X mark in email

  • A "message unsendable" icon is displayed to the right of the guest's name.

  • This indicates that the guest's email address was not provided in the OTA reservation information, making message sending impossible.
