[Reservation Management] Room Blocking Procedure (Inventory Adjustment)

Overview:

This section explains the steps to block a room from the [Dashboard] → [Reservation] → [Booking Calendar].

This feature can be used to set maintenance periods for rooms or temporarily reduce the number of rooms available for sale during a certain period.

You can select rooms individually or select multiple rooms. It is also possible to block all rooms at once.

What is a block?

Blocking is a function that stops the availability of a specific room on a designated date, preventing reservations from being accepted for that particular room .

Main use cases:

  • When used for cleaning, inspection, and maintenance.

  • When sales are stopped due to owner use, etc.

Block display specifications and important points to note

If you set multiple blocks for consecutive dates, by default they will be automatically merged and displayed as a single block .

Example:

  • June 8 - June 10: Create block "Block-A"

  • June 10 - June 12: Create block "Block-B"

→ On the calendar, it will appear as a single continuous block.

If you want to display the blocks separately, please refer to the help page below and enable the " Keep blocks separate " setting.


How to create a block

⚠️ You cannot create a block on a date that is already booked.

If you wish to stop sales for a date that has a reservation, please use the "Stop Sales" function on the pricing management page.

Steps to Block Rooms from the Reservation Calendar

  1. Go to [Dashboard] → [Reservation] → [Booking Calendar], then click [Block Rooms].

  2. The [Block Rooms] menu will appear as a popup on the right side.

    Enter the required information for each field, then click [Save].

Date Range

Select the period you want to block or unblock.

Block Status

Choose either Block Room or Unblock Room.

Room Type

  • Select the room type.

  • If you want to block all rooms at once, do not select any room type and choose [All Rooms] under [Room Unit].

Room Unit

  • Select the room number(s) (multiple selections allowed).

  • If you want to block all rooms under the selected room type or all managed rooms, select [All Rooms] only.

Remarks

A memo field for additional notes.

If a value is entered
・The entered text will be displayed in the title bar above the block.

・It will also be displayed on the Check-in Management page.

If left blank

"AirHost" will be displayed in the title bar above the block.

3. Once the block is applied, a gray bar labeled “Blocked” will appear.

If you click the bar for any room, the block details will pop up on the right side, where you can check the block period and notes.

How to Remove a Block from the Reservation Calendar

Remove Blocks in Bulk

  • Use the same steps as for blocking rooms.

  • In the Block Status field, select “Unblock” and save.
    This will release all the rooms selected for the specified period.

Remove a Block for a Single Room

1. Click on the grey “Blocked” bar of the room you want to unblock.

2. From the menu that pops up on the right, click [Unblock]. A warning message will appear—click [Yes] to confirm.

3. The grey band for the unblocked room will disappear.

⚠️Regarding unblocking merged blocks

When consecutive date blocks are merged into one and displayed,

Deleting will remove all blocks for all merged time periods at once.

If you only want to remove certain dates, please adjust the dates using "Edit" instead of deleting them.


Frequently Asked Questions (FAQ)

Q. Can I create a block on dates that already have reservations?

A. No, it is not possible to create a block on dates that already have reservations.

Blocks are used to stop inventory, so they cannot be applied to dates where reservations already exist.

If you want to stop selling dates that already have bookings, please use the “Stop Sell” setting in the Rate Management page.

Q. Do blocks affect OCC (Occupancy Rate)?

A. Yes, under the current specification, blocked dates are included in OCC calculations.

OCC is calculated using the following formula:

OCC = Sold Rooms ÷ Available Rooms

In this calculation, available rooms include manual blocks and iCal blocks. Therefore, applying blocks may reduce the OCC value.

💡 Future Update

A future update will allow users to choose whether blocks are included in OCC calculations in the report settings. This will enable the following options:

  • OFF (default): Include blocks in OCC calculation

  • ON: Exclude blocks from OCC calculation
