This is a paid bot, and its usage will be counted toward your plan's credit limit. For more information about credit usage, refer to this article.
General
Automatically upload completed documents to your SharePoint.
Use case: You are processing employee onboarding forms at your company and want every signed document to be automatically saved to a designated SharePoint folder for secure storage and compliance tracking.
How to set up
To add the bot:
1. Click the plus icon after the desired step.
2. Choose Bot and search for the Save to SharePoint bot.
3. Click on the bot to install it.
Trigger
A trigger is an event that causes the bot to start working. The bot can be placed only after a step or any other element (for example, another bot), and it will run once the previous element finishes its job.
Connection settings
In Destination, connect the bot to your Microsoft account by clicking the Connectbutton.
You’ll be redirected to the Microsoft login screen. Once you’ve logged in, you’ll be directed back to setup page.
Using the three-dot connection menu, you can disconnect the current account or connect to different accounts anytime.
Next, indicate the SharePoint record the completed documents should be saved to:
Select the SharePoint site.
Select the SharePoint list.
Choose the destination folder. Click "Find a folder" to select the specific folder within the document library where completed documents will be uploaded.
Note: If you cannot find the site you need on the list, ensure you’ve connected the correct account and have all necessary access permissions.
Once finished, click Continue to proceed.
Selecting documents
In the Documents section, select the documents you want to export by checking them in the dropdown. To select or deselect all documents in the workflow, check or uncheck the Select all box.
Choose to save documents in a ZIP archive by checking the Save documents as ZIP file option.
Testing
In the Test section, check how the bot works by selecting Test. You will see a success message if everything is set up correctly. If there are issues, review the connection, mapping, or trigger configuration.
If you skip testing by selecting Skip testing, you may miss issues with the bot setup. Testing is recommended to ensure everything works as expected.
Conditions
Set conditions to control when the bot activates, tailoring it to your specific needs for more efficient automation. For detailed guidance, refer to this article.
Advanced settings
This section allows you to choose how the process proceeds in case the bot fails:
Select Proceed to allow the workflow to move to the next signer and automation if the bot isn't crucial.
Select Stop if the bot is critical; this prevents the next signer from receiving documents if data wasn't pre-filled from the source of your choice.
