Adding Meal Selections to an Event
To add meal selections to an event, visit the Guest Manager for the event you’d like to add meals to, then follow these steps!
✓ STEP ONE: Select the appropriate event from the drop down menu towards the top of the screen (for example, you may want to add meals to the rehearsal dinner.)
✓ STEP TWO: Select the EVENT INFO & OPTIONS button towards the right to open the Event Info & Options menu. At the bottom of this menu, click ADD to input the meal selections you will be offering your guests to choose from, such as “Chicken” or “Steak.” Don’t forget to add vegetarian options as well as children’s meals as needed.
Tracking Meal Choices
You can track meals in both the event guest list manager or in the RSVP Summary page.
GUEST LIST MANAGER VIEW
Once you've added the meal choices to the event you are tracking by taking the steps above, simply click on the drop down menu and choose the guest's preference.
RSVP SUMMARY PAGE VIEW
If you've already add the meal choices to event you are tracking, you can easily choose the meal each guest has chosen when you receive their RSVP.
NOTING DIETARY RESTRICTIONS
Be sure to view the guest list as individuals so you can keep tabs on who is eating what as well as any dietary restrictions. To change the view, click on CHANGE VIEW in the upper right hand corner and select INDIVIDUAL GUESTS.
Pro Tip: To quickly add the meals of all guests in a guest party, be sure you sort the RSVP # column. All guests in one party will have the same RSVP ID. In addition, if you have the list sorted by RSVP # and need to find a specific guest by name, instead of sorting by the guest name, use your browser's search function fo a quick search and find (Mac: CMD +F / PC: CTRL+F). Meals associated with an event will appear to the right of that event.
Viewing the Final Meal Counts
Once you’ve added your meal selections and RSVP’s (along with guest’s meal choices) you can return to the EVENT INFO & OPTIONS menu for an update on the current status of your guest list as well as current meal counts.
Troubleshooting Meal Association Issues
Ensuring Guest Meal Choices are Correctly Associated with Events
When managing guest meal choices in Aisle Planner for your events, it is crucial to ensure they are correctly linked to the intended event (e.g., ceremony or reception). Below are steps to help ensure meal options associate properly and solve common issues.
Overview of Guest Meal Linking
Meal preferences should be tagged to the correct event (typically the reception). Incorrect associations, such as meals showing under the ceremony instead of the reception, or menu information missing completely, often result from setup errors in event menus or guest list combinations. These issues can lead to incorrect downloads and seating tools not reflecting the desired layouts properly.
Steps to Resolve Incorrect Associations
1. Assigning Meal Options to the Correct Event
Navigate to the Event Info & Options tab.
Confirm that the correct meal menu has been added specifically to the reception (or other intended event). Adjust or update menus as needed.
2. Configuring the RSVP Summary
Go to the RSVP Summary tab within the Aisle Planner.
Select the menu option linked to the reception. Confirm that the meal preferences appear correctly under the corresponding event.
3. Addressing Combined Guest Lists
If the ceremony and reception guest lists are combined and causing meal choices to appear only under one event (e.g., the ceremony):
Separate the guest lists temporarily.
Add the meal options specifically to the reception event.
Verify that meals are now properly added to both events via the RSVP Summary.
Optionally, recombine the lists after ensuring proper associations.
4. Confirming the Setup
Double-check the guest list layout or downloaded reports to confirm that meal choices are associated with the right event—typically the reception. This ensures that meal preferences also appear correctly in the seating tool for the selected event.
Additional Troubleshooting Tips
If meal options appear under the ceremony event and aren't needed there, you may delete them for clarity for that specific event.
Always verify changes after modifying the Event Info & Options settings.
