Importing data into Ajeero

Import Data, Users, Client, Site, Staff

This article will guide you through the process of importing data into Ajeero. You can import users, clients, sites, and staff.

Formatting the import data correctly

Before importing the data, make sure it is formatted correctly.

  • Consistent Dates

Here is a list of formats that the Ajeero system accepts from your datasheet. Please ensure you use one of the formats listed below and that it is consistent throughout the document:

  • dd.mm.yy

  • d.m.yy

  • dd/mm/yy

  • dd/mm/yyyy

  • mm/dd/y

  • mm/dd/yy

  • yy-mm-dd

  • y-mm-d

  • dd-mm-yy

  • dd-MMM-yy

The exact format depends on your settings within Administration -> Settings -> System -> as shown below:

  • Email addresses

Please check that all email addresses are in the correct format without any extra symbols, such as: “,” or “/“ or “%” or “&”.

An email address is mandatory when adding a new employee. If your employee does not have an email address, you can use dummy email addresses.

  • Phone numbers

The phone number field should not contain any letters. The system will not see 00, therefore please use + instead.

Try to use a unified approach across your documents. Setting up phone numbers in a unified format will help you to avoid any discrepancies at a later stage.

For example:

  • all + country code and the number

  • all straight to number.

  • Empty fields

Try to avoid leaving any fields empty. You can enter “-” when you don't have the data.

  • Mandatory fields (*)

All Mandatory fields are marked with a * and If mandatory fields are empty, you can't import the data.

  • Registration Number (Clients)

This field does not accept letters.

Preparing for import

A sample import file is available to download for you to understand the data. It will work as a template.

Here is a sample import file and a list of data that can be imported:

USERS

To download “Users” sample import file:

  • Go to Administration → Users from the main menu.

  • On the users’ page, click on “Excel Operations”.

  • From the dropdown, click on “click here to download the sample import file” as shown below.

To download “Clients” sample import file:

  • Go to Clients from the main menu.

  • On the clients’ page, click on “Excel Operations”.

  • From the dropdown, click on “click here to download the sample import file” as shown below.

To download the “Sites” sample import file:

  • Go to Sites from the main menu.

  • On the site’s page, click on “Excel Operations”.

  • From the dropdown, click on “click here to download the sample import file” as shown below.

STAFF/PEOPLE

To download the “Staff” sample import file:

  • Go to Staff from the main menu.

  • On the staff page, click on “Excel Operations”.

Importing the data

Tip: If you are still not sure about the data format, simply “Export” the data to understand the format.

Staff

After you have prepared the data file, it is time to import the data.

1. On the staff listing page, click on “Excel Operations” and select “Import from Excel”. Select the .xlsx Excel file containing data.

2. You can see that the fields in the Excel file have been automatically matched with the fields in the system. Look for any errors. You can either correct the errors on the screen or start over and import the corrected Excel file.

3. Fill the missing fields. Once all fields are matched, click on “Save Import Staff”.

Users

Prepare the data according to the imported sample data or export the existing data to see the format.

1. On the users listing page, click on “Excel Operations” and select “Import from Excel”. Select the .xlsx Excel file containing data.

2. If there are no errors, the new data will get imported automatically.

Clients

Prepare the data according to the imported sample data or export the existing data to see the format.

1. On the clients listing page, click on “Excel Operations” and select “Import from Excel”. Select the .xlsx Excel file containing data.

2. If there are no errors, the new data will get imported automatically.

Sites

Prepare the data according to the imported sample data or export the existing data to see the format.

1. On the sites listing page, click on “Excel Operations” and select “Import from Excel”. Select the .xlsx Excel file containing data.

2. If there are no errors, the new data will get imported automatically.
