Creating and Managing Maintenance Tasks

Maintenance Tasks are designed for you to be able to create and manage all Maintenance requests.

Create a Maintenance Task

You create a Maintenance Task using the below steps:

  1. Go to Tasks > Maintenance

  2. Click Create Maintenance Task

From there you can enter all your Maintenance details, for which there are many to ensure the task is representative of all information included in your task.

The below are required fields for each task:

  • Details

    • Summary - Name for your task

    • Related Property - What property is this related to

    • Managed By - Who is in charge of this task

    • Progress - What status is this task

However, you can add all the below additional information for your task:

  • Issue Reported

    • Reported By - Who made you aware of the request

    • Reported Date - When was this reported to you

  • Attachments

    • Attach any relevant documentation

  • Priority

    • Select the relevant current priority for the task

  • Follow-up and Due Date

    • Follow-Up Date - When you would like a reminder to show

    • Due Date - When you expect this task to be completed

  • Work Assigned

    • Work assigned to - Contact record the work is assigned to

    • Completion Date - Date of task completion

    • Access Provided By - Contact providing access to Property

    • Notes - any additional information

  • Bills

    • Create one or multiple invoices related to this maintenance task

Manage Maintenance Tasks

Once your Maintenance Task has been created you will want to ensure that you keep on top of its progress until completion.

This can be very easily done with our Task Progress field which give you the below progress options:

  • Job Logged

  • Quotes Requested

  • Quotes Received

  • Quotes Approved

  • Work Order Issued

  • Work Order Assigned

  • Work Finished

This can be changed directly from the Maintenance Task view or within the Task itself.

Close Task

By changing a Task to Closed it will no longer show in the Open Task view but rather be stored in the Closed Tab.


This is intended for Tasks that require no further action.

A Task can be Marked as Closed is the following two ways:

  1. Click Actions

  2. Select Close from the drop-down

  1. Click on the 3 dots on the task in the list view

  2. Select Close from the drop-down
