Each day in Planning has a summary row that shows each person's free capacity and the time they have tracked that day. Clicking the tracked time opens an overview of all hours tracked that day.
How is free capacity calculated?
The summary row shows:
Free (on the left): the remaining capacity for planning. It is calculated as the person's daily capacity (plannable time) minus all planned allocations, including time-offs.
Tracked / daily capacity (next to the stopwatch icon): the number before the slash is the time tracked that day from anywhere in Allfred, the number after the slash is the person's daily capacity.
⚠️ Free capacity is based only on planned allocations. Tracked time doesn't change it, even if a person tracks more or less time than planned.
Example: A person has a daily capacity of 7:00 and two allocations that day: a 0:30 time-off and a 1:20 task. The summary row shows 5:10 free (7:00 − 0:30 − 1:20). Their tracked time is 0:00 out of 7:00.
Overview of tracked hours for the day
Click the tracked time next to the stopwatch icon to open a summary of all tracked hours for the day:
Time entries tracked via allocations in Planning are marked with a calendar icon.
Time entries recorded from the task detail, via the clock icon in the upper right corner, or in the Time section are marked with a clock icon.
How to connect a time entry with an allocation?
Time tracked outside Planning (from the task detail, via the clock icon in the upper right corner, or in the Time section) isn't connected to any allocation automatically. You can connect it to an existing allocation for the same task:
Click the tracked time in the summary row to open the tracking overview.
Find the time entry with a clock icon, click the three dots next to the time entry and select Edit.
Select one of the capacity allocations from the list. Allfred shows only allocations for the same task.
If there is no allocation for the task in which you've tracked hours, you will see the message "no option."
