What is the enrollment control feature in AloAi Agents?
The Enrollment Control feature in AloAi Agents allows you to enroll or disengage one contact at a time from specific AloAi Agents. It helps you manage how AloAi Agents interact with each contact by showing which agents are currently assigned, enabling new enrollments, or removing unnecessary agents. This ensures that interactions are purposeful, streamlined, and meet specific requirements.
How to use the enrollment control feature
Let’s say you want a customer to be reminded of their billing dues or have their billing details updated. If you have an AloAi Voice Agent ready to complete these tasks, the Enrollment Control feature allows you to assign the contact to the relevant AloAi Agent.
Once enrolled, the AloAi Agent will take over the task, automatically reminding the customer of their billing dues or updating their details as needed. This eliminates the need for manual follow-ups and ensures the interactions are handled efficiently.
Enrolling a contact in AloAi Agent
If you want to remind a contact about their billing dues or automate responses to common queries, you can enroll them in an AloAi Agent that matches your requirements.
Open the contact profile in the Aloware Talk.
Go to the enrollment control card, located in the contact's profile.
Review the current list of bots the contact is actively enrolled in.
Click on the enroll to agent option.
Select the AloAi Agent that fits the contact’s needs (e.g., a billing reminder or Q&A).
Confirm the action to enable the bot to start interacting with the contact.
What happens after enrollment?
Once enrolled, the bot immediately begins interacting with the contact based on its purpose. You can also enroll a contact into multiple AloAi Agents at the same time.
For example:
A billing reminder bot will send periodic payment reminders to the contact.
A Q&A bot will respond to inquiries like business hours, product availability, or troubleshooting information.
The call log shows that the AloAi Agent initiated the call.
In the case of AloAi text agents, the user view also displays that the message came from the AloAi Agent.
Disenrolling a contact from a bot
When you disenroll a contact from an AloAi Agent, you immediately stop all interactions between them. The contact is removed from the agent’s workflow. Use disenrollment if the contact no longer requires assistance from the agent or if you want to reset their engagement history for a fresh start.
By disenrolling the contact, you ensure the AloAi Agent no longer recognizes or interacts with them, preventing unnecessary communication and keeping workflows focused and efficient.
Steps to Disenroll a Contact from an AloAi Agent
Navigate to the enrollment control card in the contact profile.
Review the list of currently active AloAi Agents.
Select the AloAi Agent you wish to disenroll the contact from.
Click on Disenroll from agent. The AloAi Agent will stop interacting with the contact immediately.
Audit Logs: Tracking AloAi Agent interactions
Every interaction between AloAi Agents and your contacts is recorded in the contact audit logs. These logs are designed to help you track changes and understand interaction histories.
Audit logs capture key details, such as when a contact was enrolled or disengaged from specific AloAi Agents, who performed the enrollment or disenrollment action, and a timeline of all engagement points for each AloAi Agent.
The logs maintain a clear record of interactions, ensuring full transparency. You can use these logs to resolve disputes or clarify changes by referencing past actions. They also help you monitor activity for compliance, troubleshoot issues, and conduct internal reviews, keeping operations reliable and workflows well-documented.
