Setting up AloAi Agents for outbound communication

Accessing Aloware and creating an agent

  1. Navigate to the Aloware admin dashboard and select the AloAi Agents menu.

  2. Click the +New Agent button to create a new bot.

  3. Choose the communication type (Text for SMS or Voice for calls) and

  4. Set the direction to Outbound, enabling the bot to start conversations proactively.


Configuring general outbound settings

  1. Assign a name and description - provide a clear name (e.g., Lead Nurturing Bot) and write a brief description of the bot’s purpose. This name will be visible on the AloAi Agents page and during contact enrollment.

  2. Agent type - select outbound as the main channel of communication for this agent.

  3. Direction - set to outbound, indicating that this bot will initiate conversations with contacts.

  4. Default outbound line - select the default outbound line for this agent.

  5. Select an AI model - choose between GPT-4o mini for simpler workflows or GPT-4o for nuanced, conversational interactions.

  6. Customize engagement expiration - define how long the bot stays engaged during a conversation. For example, after 10 minutes of inactivity, the bot will automatically disengage from the interaction.


Crafting a strong opener for outbound campaigns

Personalization is key for engaging openers. Include actionable next steps and opt-out instructions to ensure compliance. (e.g., “Reply STOP to unsubscribe”).


Setting availability schedule

Configure your bot to run at specific times aligned with the recipient’s timezone (e.g., send messages during their working hours).

You can also restrict the bot’s activity during specific periods, like holidays, to avoid sending messages at inappropriate times.


Automating follow-up communication

Follow-up messages are crucial for successful outbound campaigns. Define the follow-up frequency and intervals between messages.

  1. Set follow-up frequency - determine how many follow-up messages the bot will send if it gets no response (e.g., 3 follow-ups).

  2. Define delays between follow-ups - choose specific intervals (e.g., 24 or 48 hours) between messages to maintain a professional cadence.

Click Save to apply your settings.


Testing and monitoring your outbound AloAi Agent

Before deploying your outbound bot, test its performance to ensure maximum efficiency:

  2. Check follow-up timelines - ensure the bot adheres to the configured delays and intervals for follow-ups.

  3. Validate escalations - test scenarios where the bot needs to escalate issues to live agents.
