Guide to using the Safety & Maintenance feature for tracking accidents, claims, inspections, and maintenance records

The Safety & Maintenance feature on Alvys is designed to streamline the management of critical records such as accidents, claim reports, roadside inspections, maintenance records, and totals. Below is a comprehensive guide to using this feature effectively.

Accessing Safety & Maintenance

  1. Navigate to the Safety & Maintenance section from the main menu.

  2. Expand the dropdown to view the available submenus:

    • Accidents

    • Claim Reports

    • Roadside Inspection

    • Records

    • Totals

Each submenu provides tools tailored to manage specific safety and maintenance-related tasks.


Adding a New Maintenance Record

  1. Click on Records in the Safety & Maintenance dropdown.

  2. Select New Maintenance.

  3. Fill in the required fields in the Details section:

    • Description: Briefly describe the maintenance task.

    • Category: Choose the appropriate category (e.g., repair, inspection).

    • Date Performed and Due Date: Specify when the maintenance was completed and when it is due.

    • Due Time: Optional.

  4. Complete the Asset section:

    • Asset Type: Select whether this record applies to a truck, trailer, or other asset.

    • Enter details such as Truck, Driver, Odometer, and Reference #.

  5. Add notes in the Work Performed or Comments fields, if applicable.

  6. Use the Shop section to include:

    • Repair Shop and Vendor details.

    • PO# (Purchase Order Number).

    • Amount for the maintenance work.

  7. Attach any relevant files in the Files tab.

  8. Click Save Record to finalize.

Repeat similar steps for creating records under Accidents, Claim Reports, and Roadside Inspections, using their respective forms and fields.


Totals

The Totals page consolidates all record data for easier review. It allows users to:

  • View cumulative totals of expenses by category or asset.

  • Assess overall safety and maintenance trends.

By leveraging the Safety & Maintenance feature, you can ensure compliance, reduce downtime, and maintain operational efficiency.
