amaise automatically sends notification emails about requests. For each notification type you can adapt the subject of these emails to your organisation's wording — for example to show a case reference or the name of the person who triggered it right in the subject.
This setting is available to you if you have the Workspace admin role and collaboration is enabled for your workspace.
Opening the card
Open the workspace settings and switch to the Features area. There you will find the «Notification email subjects» card. As long as you have not stored a custom subject, amaise uses the default text everywhere.
Adding a custom subject
Click «Add custom subject» and select the notification type you want to adapt. There are twelve customisable notification types:
«Message received»
«Request in progress»
«Request answered»
«Request completed»
«Request withdrawn»
«Removed from request»
«Request reopened»
«Request canceled»
«Access to your case requested»
«Request in queue»
«Request ready to review»
«Requests archived automatically»
In the editor you enter your subject text. You store one version per language offered in your workspace — each language needs a version before you can save.
Placeholders in the subject
You can use four placeholders in the subject, which amaise replaces automatically when sending:
{{sender}} — the person who triggered the email.
{{ticketSubject}} — the title of the request.
{{caseLabel}} — the case name, usually the insured person.
{{caseOwner}} — the person responsible for the case.
If you write {{sender}}: {{ticketSubject}}, for example, the sent subject becomes something like "Dr. Brunner: Assessment for 12-345".
{{caseOwner}} stays empty when the case has no owner, when the owner is not a member of your workspace — someone who has left, or an amaise support employee who took the case over — or when the owner belongs to an external organisation, since recipients at one organisation are never shown the people of another. An owner you have blocked is still named. The placeholder is not offered for «Requests archived automatically»: that digest covers several cases at once, so it has no single owner.
Automatic additions
amaise always sets two additions itself — you do not need to enter them:
The [amaise] prefix is automatically prepended to every subject and is not editable.
Requests marked as urgent additionally receive the [Urgent] addition (in the recipient's language) in the subject.
Preview
A preview shows you directly in the editor what the finished subject looks like — both in the normal case and for a request marked as urgent. This way you can see before saving how the email arrives with the recipients.
Removing a custom subject
If you remove a custom subject again, amaise automatically uses the default text for that notification type once more.
