Customizing The CoLab Module

To ensure employees actively participate in the collaboration module and that it meets your goals, it’s essential to bring it to life!

Here are some best practices for customizing CoLab👌

Challenges

The first step is to create challenges for employees to respond to. This can be done either at the end of a survey or within the platform.

👉 Who can manage and create challenges? Only users with the required permission can create and modify challenges.

To create a challenge:

  1. Go to the CoLab section.

  2. Open the Challenges submenu.

  3. Click + New Challenge.

  4. Create your own challenge or choose one from our template library.

Configure the Challenge

Once the subject is created, define its parameters:

  • Clarify the context: Provide all necessary details:

    • What is the challenge?

    • Why is it important?

    • What impact does it have on the team or organization?

    • Are there any limits (deadlines, budget, resources, etc.)?

    • Can employees volunteer to help implement the idea?

  • Select participants: Decide whether the entire organization, only employees under your supervision, or a specific group will be invited to participate.

    • Specific groups can be selected based on demographic attributes (e.g., department, workplace location, job title, etc.).

  • Select who can view the ideas: Choose whether the ideas will be shared exclusively with the challenge participants or with another designated group.

  • Set the launch date: Decide if the challenge starts immediately or later. You can also set a closing date.

    • Time-bound challenges help build momentum and generate ideas quickly.

    • Don’t forget to schedule automatic reminders (if applicable).

Once everything is set, review your challenge and launch it! 🚀


Challenge Ideas for Inspiration

Need a little inspiration? Here are a few suggestions:

  • How can we increase participation in our engagement surveys?

  • We'd like to hold a team-building activity. What are your ideas for a summer activity near Quebec City that would strengthen our bonds?

  • How could we improve the customer experience for our online quote process?

  • How can we reduce the workload for our customer service agents?

  • Our month-end reports generate a lot of stress. How can we speed up or simplify this task?

  • If you could join a different team on a new project, which one would it be and why?

  • If we could hire 5 more people, what should they work on?

Keep Challenges Fresh

Regularly activate or create new questions so they stay relevant to current events and needs in your organization.

A significant event? Emerging business needs? A new target market? A complexe challenge that requires collective intelligence?

Turn it into a new challenge! ✨

New challenges are more likely to generate new ideas! This will also help keep employees interested in the module.

You can also deactivate challenges, when they are no longer relevant. Employees can view all active challenges through the Inspire Me feature.

Share The Outcome

The challenge has ended, and you've made your decision? Share the outcome with all the participants!

Include:

  • The winning idea

  • Any explanations (if applicable)

  • Next steps (if applicable)

Then select who should receive the challenge conclusion email.
