Create a team template from scratch
Go to the templates page in your account.
Choose the visibility level for your template:
Select My Templates so that only you can see and use this template
Select the Team Templates tab so that everyone on your team can see and use it (if you have permission)
Edit the default buyer or listing templates, or add your own.
Your templates are now organized into clear visibility levels:
Personal templates (My Templates)
- Only visible to you
- Full control to create, edit, delete
- Perfect for your individual workflow
- Can be shared with your team when ready
Team templates
- Visible to all members of that team or office
- Updates sync instantly when edited
- Shows last edited timestamp
Copy an existing template to the team templates
Find the template you want to share
Click the "Copy Template" button (this creates an independent copy of the selected template in that group - any edits you make won't affect the original)
Select which team or office to copy it to
Handle any naming conflicts.
Once you copy the template to the team templates, it becomes immediately available to everyone in that group.
What happens after sharing
A copy of that template becomes instantly available to your team
All users see the same version
Updates to the copied template sync in real time
The original template will not be updated with edits that are made to the template copy
Timestamp shows when the template is updated

As an admin, you can:
Create team templates
Edit any team template (changes apply to everyone)
Delete team templates (with confirmation)
As a team member, you can:
View and use all team templates
Edit and create team templates if you have permissions
Duplicate a team template to your personal collection
See the last updated timestamp
Frequently asked questions
Can I share my personal templates with my team?
Yes! Use the "Copy Template" function to share any personal template with your team or office. You'll maintain your personal copy while creating a shared version for the team.
What happens if two people edit a shared template at the same time?
Folio handles this automatically. The most recent save wins, and all users see the latest version instantly. The timestamp helps track changes.
Can I make a team template private again?
You can duplicate a team template to your personal collection. Additionally, you can delete the team template after duplicating it, provided you have the necessary permission.
Why can’t I create a team template?
Contact your admin to make sure you have the right set of permissions.
Changes to shared templates not appearing
Refresh your browser if changes don't appear within a few seconds.
Why can't I edit a team template?
You may not have editing permissions. Contact your administrator to request access.
Best practices for working with templates
Name templates clearly so people can spot the right one fast.
Include the purpose in the name (for example: “Luxury Listing - 60-Day Timeline”)
Announce major updates to shared templates so the team isn’t surprised.
Review regularly and update or archive anything that’s out of date.
Create variants for common scenarios or audiences.
