When you create more than one service request with the same VIN, Stock#, or RO#, and the duplicate checking is turned on in the Back Office application, you will either get a warning about the duplicate, or you will not even be able to save the service request until you approve or correct the duplicate entry.

You can turn on the duplicate checking in the ‘Service Request Type’ dialog box, on the ‘General Settings’ tab, in the ‘Check for Duplicate’ section.

  • None means that duplicate checking is turned off, so technicians can create more than one service request with the same VIN, Stock#, and RO#.

  • Warning Only means that technicians will be warned about duplicates, but they still can create more than one service request with the same VIN, Stock#, or RO#.

  • Error with Blocking means that technicians cannot create more than one service request with the same VIN, Stock#, and RO#.

You can approve creating a duplicate service request without any correction if your user role allows to do so.

If such approval is not allowed for your user role, you will need to ask your manager for approval.

Notes

  • You can select more than one duplicate parameter for comparison, for example, VIN + Stock# or VIN + Stock# + RO#.

  • You can select the ‘Include Client’ checkbox if you want to see duplicates by VIN, Stock#, and/or RO# only for the same customer

  • You can select the ‘Ignore closed service requests’ checkbox to allow creating new service requests when duplicates are found among closed service requests.
