Part 1: Create the Dummy Care Home Account
First we need to create the care home account itself
Step 1: Access Create Request
Log into Anima
Go to Dashboard
Click Create Request
Step 2: Enter Dummy NHS Number
Enter a unique dummy NHS number in format: 999-999-XXXX (where XXXX is any 4 digits)
Example: 999-999-1234
Each care home needs a unique number (e.g., 999-999-1234, 999-999-4321, etc.)
Click Search
System will show: "Couldn't find an anima account for this patient"
Step 3: Fill in Care Home Details
Click Create New Patient Account
Enter the following information:
Name: Care home name
Date of Birth: Any date, must be over 18 years old (e.g., 01/01/2000)
Address: Care home address
Postcode: Care home postcode
Phone: Care home phone number
Email: Care home's email address (this is critical - they'll use this to log in, and it cannot already be associated with an Anima Account)
Leave blank: Housebound, Care Home Resident checkboxes
Tick the two confirmation boxes at the bottom
Click Create Patient Account
NB if the care home email is associated with an Anima account you nay need to ask support to reset the email
Step 4: Close the Request Window
Click the X in the top right corner (you don't actually want to create a request, just the account)
Part 2: Add Residents as Dependents
Step 5: Create Request for First Resident
Go to Dashboard
Click Create Request
Enter the resident's actual NHS number
Click Search
Step 6: Register as Dependent
If the resident doesn't have an account, click Create New Patient Account
If the resident DOES have an account - please ask support to reset it
Important: At the top of the form, select "Register the patient as a dependent"
In the dependent field, search for and select the dummy NHS number you created (e.g., 999-999-1234)
Confirm the care home account is shown as registered at your practice
Step 7: Complete Resident Details
Fill in all required resident information:
Name
Date of birth
Address
Contact details
Ensure all fields are completed
Click Create Patient Account
Step 8: Repeat for Additional Residents
Repeat Steps 5-7 for each resident in the care home
Each resident should be registered as a dependent of the same dummy care home account
Important Notes
⚠️ Each email address can only be associated with ONE account in the Anima system
⚠️ If you get an "already exists" error:
The NHS number or email may already be in use
Try a different dummy NHS number
If the email is in use, you may need to:
Go to Patient Management → Patient Search
Search by that email address
Edit the patient details to remove the email
Confirm "this patient has no email address"
Then try creating the care home account again
⚠️ Dummy NHS numbers must be unique - if one is already in use, just change the last few digits
Result
Care home has one login account using their email address
All residents are visible as dependents under that account
Care home can track all their residents' requests in one place
