WhatsApp is one of the most popular tools to stay in touch with your friends, colleagues and family on the daily. Often times, these conversations include items which require further attention. However, with no designated place to collect all action items from your conversations, it can be hard to keep track. Introducing Any.do's WhatsApp Reminders - a fast and easy way to create tasks & reminders straight from your ongoing conversations!

Activating the Whatsapp integration can be easily done via the mobile and desktop apps. Depending on your subscription plan (Premium/Family/Teams), you will have the option to activate the following Whatsapp bots:

  • The Personal bot - for adding personal-tasks directly to your personal lists. This option is available to Premium, Family and Workspace users.

  • The Workspace bot - for users with a Team/Family space who wish to add items to their boards.

After the activation, the bot(s) will appear directly in your WhatsApp app, allowing you to add tasks and receive reminders without any need to open the main Any.do app.

Note: Any.do's Whatsapp integration is available exclusively under the Premium/Family/Teams subscription plans. You may also experience the integration in any of our trial plans.


πŸ‘€ Activating and interacting with the Personal Whatsapp Bot

Any.do's Personal Whatsapp bot was designed for easy and efficient task management on the go. It works exclusively with your personal lists and allows you to add tasks, set reminders and receive alerts as soon as your reminders are due.

πŸš€ To enable/ disable the Personal WhatsApp bot

By enabling Any.do's Personal Whatsapp bot, a new conversation will be created in your WhatsApp app for adding tasks and receiving reminders.

You can easily activate the Personal Whatsapp integration through the mobile or desktop apps. If you wish to disable it at any point in time, you may do so directly from app's settings.

  1. Go to Settings -> Integrations -> WhatsApp.

  2. Add your phone number and tap send.

  3. Enter the 6-digit code you received via text and tap confirm.

  4. Turn your reminders on and start messaging to create tasks!

❌ To disable the personal Whatsapp integration via mobile/desktop

  1. Open Any.do.

  2. Go to settings β†’ integrations β†’ WhatsApp.

  3. Press the 'Disconnect' button.

πŸ’‘ Note: You can always switch the Whatsapp number associated with your Any.do account by simply disabling the integration and then re-integrating with your new number.


βœ… Managing personal-tasks through the Personal Whatsapp bot

Adding tasks and reminders to your personal lists is quick and easy with WhatsApp. You can either create a new task directly through your conversation with the personal-bot or forward a message from any other Whatsapp conversation.

The personal-bot will remind you as soon as a task is due when created through Whatsapp. If you wish to also receive reminders for tasks created through the Any.do app, just activate the task notifications from your app's settings:

βž• To create a WhatsApp task via desktop/mobile

  1. Open WhatsApp.

  2. Open the Any.do conversation.

  3. Enter 'remind me to..' (make sure to use the acceptable time formats below).

  4. Any.do will confirm the reminder time.

  5. Add the time and you're all set!

β†ͺ️ To forward a WhatsApp reminder via desktop/mobile

  1. Open your WhatsApp app.

  2. Open any of your ongoing conversations.

  3. Select a message and forward it to 'Any.do'.

  4. Any.do will add the task and will ask you for the reminder time.

  5. Add the time (make sure to use the acceptable time formats below) and you're all set!

πŸ”„ To manage personal recurring-reminders through WhatsApp

Personal recurring reminders can only be created via the main app at this time. However, you may still receive these reminders as notifications in your Whatsapp conversation with our bot as longs as you activated the notifications option.

Keep in mind though that in order for the next recurrences to be created and notified via Whatsapp, you will need to open the main app once the notification arrives and complete the current occurrence.

Note: Simply opening Whatsapp when a recurring reminder is due will not create the next occurrence. If your recurring reminders seem to 'stop', make sure that you properly complete them each time through the main app.

  1. Open the Any.do app on any of your devices.

  2. Go to settings β†’ integrations β†’ WhatsApp.

  3. Toggle ON/ OFF the β€œreminders” option.

The Workspace Whatsapp bot (available to Family and Teams members only) allows you to add tasks directly to your boards straight through Whatsapp without any need to open the main app. The Workspace Whatsapp bot also offers add functions specific for your board tasks such as replying to board updates, assigning members to tasks, and sending attachments.

By enabling Any.do's Workspace Whatsapp bot, a new conversation will be created in your WhatsApp app for adding board tasks and receiving reminders (in addition to the personal Whatsapp bot). You can choose to have both the Workspace and Personal bots active or simply disable one of these options if no longer relevant.

The Workspace Whatsapp bot can be enabled through the mobile or desktop apps, and if you wish to disable it at any point in time, you may do so directly from app's settings:

πŸ“‹ Managing board tasks through the Workspace Whatsapp bot

Adding tasks on the go is simple and easy through the Whatsapp Workspace bot. You can either create a new task directly through your conversation with our bot or forward a message from another WhatsApp conversation to be added to your boards.

Additionally, the Whatsapp Workspace bot allows you to add various files such as photos, docs and similar to any of your board-tasks as well as easily reply to any messages you've been mentioned in, directly through Whatsapp (tagging back the user who mentioned you). Lastly, if you wish to receive reminders from your board tasks, you can turn on the 'task-notifications' option to get them straight to WhatsApp:

βž• To add board tasks via the Workspace Whatsapp bot

  1. Open your Whatsapp app.

  2. Select the Any.do Workspace bot.

  3. Type in the task's title and send.

  4. Select the board you want to add the task to.

  5. The task will be added to the first section on the left you have on that board.

  1. Open your Whatsapp app.

  2. Select the the desired conversation.

  3. Tap any message to forward to your Workspace bot.

  4. Select the board you want to add the task to.

  1. Type in the task's title and send.

  2. Select the board you want to add the task to

  3. Press "Select Assignee"

  4. Tap a member to select it and tap "Send".

  1. Send an attachment to your chat.

  2. Select whether you want to add it to the existing task or create a new one.

  3. Select the board you want to add it to.

πŸ’¬ To reply to a board update via the Workspace Whatsapp bot

  1. Swipe the WhatsApp message update to the right

  2. Reply to it.

  3. It will add the reply in the task chat and will mention the user that mentioned you.

  4. You can also select to notify others on this update.

πŸ’‘ Note: If you write your reply as a regular message without swiping it to the right it will create a new task.

  1. Open the Any.do app on any of your devices.

🌎 General Whatsapp time-zone and language options

When interacting with the Any.do Whatsapp bots, several languages are supported for input purposes: English, Spanish, German, Hebrew, Arabic, French, Italian, Korean, Portuguese, Chinese (Mandarin).

While you can freely communicate with the bots (using the acceptable time-formats detailed below), the bots will respond exclusively in English.

The bots are designed to send reminders according to your device's settings. Accordingly, no action is required after the initial setup unless reminders are showing in incorrect times (for Android users only). In such cases, please follow the instructions below or contact our Support Team for assistance.

  1. Open Any.do on your Android device).

  2. Go to settings β†’ integrations β†’ WhatsApp.

  3. Select 'Time Zone'.

  4. Select your preference.

Note: This time zone will affect Whatsapp reminders only, it has nothing to do with Any.do reminders.

πŸ‘₯ Can I set reminders for other users through Whatsapp?

No, you can only send reminders for yourself in the Whatsapp integration. However, if you add a task to your shared boards and create a reminder through the main app, all board-members will receive a notification through Whatsapp (as long as they enabled the integration).

⌚ Why do I get Whatsapp notifications in incorrect times?

If you're an Android user, it might be that your time zone wasn't set properly. Please follow the instructions here to properly set your time zone. If this doesn't work or if you're using a different platform, please submit a bug with our Support Team and they will gladly look into it for you πŸ€“

πŸ”— Why am I unable to connect my Whatsapp number with Any.do?

It might be that there's an issue sending the SMS to your Whatsapp number. In such cases, please submit a bug with our Support Team and they will connect your number manually πŸ€“

Most business numbers are supported and you should be able to connect the business Whatsapp number to your account. If the number cannot receive SMS messages or you're having issues, please submit a bug with our Support Team and they will gladly look into connecting your number manually πŸ€“

Not yet 😊 Voice notes can be added as attachments to your board-tasks, however at this time there is no option to create a reminder using voice-notes/voice-messages. You can however use the voice-input in your keyboard (on mobile) to dictate your message and send the text to the Any.do bot.

πŸ†š What's the difference between the Personal Whatsapp bot and the Teams/Family bot?

The Personal bot links directly with your personal lists and tasks and allows adding and receiving reminders. It is available to Premium, Family and Teams (Workspace) accounts.

The Family/Teams bot links directly to your space-boards and allows you to add tasks, add files (as task-attachments) and directly reply to messages. It is available for Workspace (Teams) and Family members only.

πŸ“² I am unable to receive the SMS message to complete my Whatsapp integration.

Please make sure that you're using a standard mobile number for connecting your app and that you have entered the number in it's international format along with your country code (Ex: +XXXXXXX).

There is also a list of countries that ban WhatsApp so the integration will not work for those numbers (China, North Korea, Syria, Qatar and the UAE).

No, at this time there is no option to create personal recurring reminders via Whatsapp. You can set the recurrence via the main app and follow the instructions here to manage these recurrences from Whatsapp.

In Any.do, each account can be connected to one phone number at a time for WhatsApp integration. If you wish to connect a different WhatsApp number to your Any.do account, you would need to disconnect the current number and connect the new one.
