ANZ eSign of Application Forms

You are able to use ANZ eSign for the review and execution of application forms in Loanapp submissions

As part of your Loanapp submission, you are required to generate an ANZ Application Form to be submitted with your application data and supporting documents. This Application Form needs to be signed by both your applicants, and you, the Mobile Lender. You are able to sign either by eSign (electronic signature) or wet signatures. This article focuses on the ANZ eSign functionality.

When you have completed building your loan application, you will get to the Documents section of Loanapp:

This section will list any documents that need to be generated, and a status of the Form:

To generate a Document so that you can download and review it, click "Generate Documents":

This will update the status, and start generating the form. When ready, the status will be "Documents Generated", and if the Document needs to be signed, it will list who needs to sign it:

You can download the document by clicking "Details", via a popup:

If you would like to use eSign for the execution of the Loanapp generated documents, you can then click "Request eSign":

This will then send an email to your applicant/s (and yourself) for the Application Form to be reviewed and signed. The email will be from ANZ Mobile Lending and the email subject and sign off aligns to the Loan Writer in the Setup section.

Please note, all applicants receive the ANZ eSign requests sent within Loanapp at the same time, there is no signing order.

Ensure that you (the Lender) eSign after the applicants have completed eSigning all documents.

This email will have instructions for the signing of the Document/s via eSign:

At the bottom of this email is a button that takes the Applicant/you to the ANZ eSign workflow:

When you launch the ANZ eSign workflow, your applicant/you will need to pass the two factor authentication to confirm you are the correct person to be reviewing and signing the document. This will send an SMS to the mobile number that has been entered against your applicant/your own profile in Loanapp:

Your Applicant/you will need to read and accept the eSign Disclosure Document:

Once accepted, the Document that needs review and signature will be presented:

And the placeholders for Signatures will guide the user as to where to sign, and what else is needed:

When all signatures are complete, the Applicant/you will need to click Done:

And the Applicant/you will be able to Exit the workflow:

Back in Loanapp, the interface will update to give you feedback on progress and who has signed the Document/s. In the following screenshot, the Applicant has signed, but you, the Mobile Lender, has not:

All other parties requiring signatures will receive their own emails, and also complete the ANZ eSign workflow. Ensure you, the Lender, are the last party to eSign the forms.

Once the Document is signed by all parties, the Loanapp Documents section will update to "Signing Complete":

And the signed document will be automatically sent to Supporting Documents so that it can be sent along with your final application submission.

Important Note: the Guarantor Assessment Checklist is not included in eSign transactions in Loanapp.

To eSign, download the Guarantor Assessment Checklist from the Supporting Documents section and create an eSign transaction using the ML ANZ eSign Portal.

To download a document from Supporting Documents:

  • From the Active documents bucket, drag and drop the Guarantor Assessment Checklist to “View or Edit”

  • The document appears in the right-hand side of the screen, click the download icon.

Include all eSign documents when submitting to ANZ, the ANZ eSigned documents from Loanapp can comprise of:

Applicants:

  • ANZ Application Form

  • Electronic Disclosures and Signatures Consent

  • Evidence Summary

Guarantors:

  • ANZ Application Form

  • Email Consent

  • Guarantor Self Declaration Form (where the Guarantor Interview is completed in Loanapp)

Mobile Lender

  • ANZ Application Form

Do not modify the ANZ eSigned documents, doing so will break the tamper seal. To review the documents, drag and drop to the View/Edit function in Supporting Docs or, download and view in Adobe.

The tamper seal in Loanapp appears as a circle across the signers name:

The tamper seal in Adobe is the same as for documents completed using ANZ eSign Portal. For eSigning documents outside of Loanapp, please use the Mobile Lending ANZ eSign Portal.

eSign Controls and Statuses

Note that you can use the Loanapp Documents interface to Cancel or resend eSign requests, regenerate (update) or delete your Document.

Note also that if your Applicant does not want to sign the Document, they are able to 'Decline' in the ANZ eSign workflow, and the Loanapp status will update to let you know:

Example eSign Controls and Statuses

Following are some example eSign controls/statuses that you might experience while using eSign in Loanapp Documents section:

Incorrect Email Address - the eSign request has been sent and an applicants' email address is incorrect. To rectify:

  • cancel the current eSign request (no email is sent to the applicants)

  • update the email address for the applicant in Loanapp Contact details section

  • in the Documents section, click Regenerate to update the documents (and the email detail)

  • click Request eSign to initiate a new ANZ eSign package

Bounce Back Email or Out of Office - where an email bounces back or a response is received (eg Out of Office), an email is sent the Mobile Lender including required action. The Loanapp status shows as Email bounced. Review the email for either:

  • Email Address Unknown - check the email address you had entered in Loanapp.

    • Where Incorrect:

      • cancel the current eSign request (no email is sent to the applicants)

      • update the email address for the applicant in Loanapp Contact details section

      • in the Documents section, click Regenerate to update the documents (and the email detail)

      • click Request eSign to initiate a new ANZ eSign package

    • Where the email address is correct, ask the applicant to check their junk/spam email folder, or where not received click Resend eSign request to reissue the same request.

  • Out of Office - where an automatic response email is returned from the recipients address (eg Out of Office), this should mean that the email has still been sent/received.

    • Check the email address, if the applicant has received the ANZ eSign email request, where received no action is required. Once compete the status will update to Signing complete.

Request declined - Where a request is declined by one applicant, the complete eSign package is declined, and the Loanapp application data is unlocked.

  • The status displays as the document generated date and the name of the package decliner.

  • To reissue the existing package, click Request eSign.

  • Where the package has been declined as the application data needs to be modified, make any necessary changes in Loanapp, then regenerate documents and then click Request eSign.

Where application data is modified and documents are not regenerated, when Request eSign is clicked a “Participant not found” error is returned. To rectify, cancel the eSign request, regenerate documents and click Request eSign.

Where Request eSign is reissued, inform the applicants that a new email will be received to complete ANZ eSign. Any applicants who have already signed, will also need to resign the new package.

Cancel eSign - To cancel an ANZ eSign request, click on “Cancel Request”. Note:

  • No email is sent to the applicants for a cancelled request.

  • The Loanapp status reverts to the date and time of document generation and submit in Loanapp is enabled.

  • The original ANZ eSign package is no longer active.

Signers Locked status appears in Loanapp in the event an applicant enters an incorrect verification code 3 times. The status next to the applicant shows as “Signer is locked by signature service”.

  • To unlock, the Mobile Lender can unlock by clicking on “Unlock signers” within the Document section of the Loanapp application.

  • An email is sent to the applicant confirming the account is unlocked.
