Creating Workflows for Specific Jobs

Learn to create automatic workflows for individual jobs in Apploi

Apploi offers Workflows to automate messages sent to candidates and status updates. These Workflows can be created at the Parent Team, a specific Child Team, or for a specific job.

If you're interested in creating a Workflow for your entire account or a specific Child Team, take a look at this Help Center article that will guide you through those steps.

Remember - the Workflows feature is only available to Super Admin users. If you are trying to create a workflow and don't see the option in your account, reach out to a Super Admin on your team who can assist!


Accessing Workflows

If you'd like to create a workflow for a specific job, the process remains very similar.

  1. Navigate to the Workflows set up screen by clicking your name in the top right > clicking Workflows:

  2. Make sure you are viewing the Workflows tab, where you will see a prompt to determine if you are creating a workflow for All Jobs or selecting a specific job:

  3. Click the Job Title from the dropdown of the job you plan to create a new workflow for. From here, you can follow these steps to create your workflow.


When to Create a Job Specific Workflow

Job Specific Workflows come in handy when an automated process only relates to applicants for a specific role.

For example, at Chimney Point Skilled Nursing, all CNA candidates must complete an initial phone screen before being considered for a formal interview. No other positions & their candidates require this type of phone screen.

To support this, the Chimney Point team creates a job specific workflow, automatically texting and emailing a candidate 30 minutes after they apply, asking for the best time to schedule that initial phone screen.

The workflow set up looks like this:

You can see that the workflow specifically pertains to the CNA job, because it has been selected as the job in the dropdown.
