Automate Document Signing and Follow Up

Workflows that send document packets out upon hire and then remind a candidate when they've left them unsigned

You've interview your candidate and decided to hire. Congratulations! Now comes the time to send them a Document Packet to sign and, often, a reminder to yourself to follow up and remind the candidate to sign. Now, you can set all of that on autopilot with Automated Workflows.

Create an Email and/or Text Message Template

Either use an existing email or text template, or create a new template. You'll need one that goes out upon being hired, and one that reminds the candidate to finish their signing their documents.

Don't forget to include the *|SIGNING_URLS_BLOCK|* merge field.

Set Up A New Workflow

Navigate to the Workflows section in your account by clicking your name in the top right > clicking "Stage Manager / Workflows" from the dropdown menu.

Make sure to toggle to the Workflows tab. Decide if you want the workflows to apply to All Jobs (default) or specific job types. Then, expand the stage that contains your "Sent Documents" status. By default, this is the Offer stage:

Use the following selections:

  1. First make the selection "the status is updated" then "Hired".

  2. On the next line, "a message is sent" and select your preferred medium (Email, Text, or both).

  3. Select your template.

  4. Select your document packet.

  5. Click Done, then make sure you click Save at the top of the page.

Workflow for following up on incomplete packets

  1. First make the selection "the status is" followed by "Sent Documents"

  2. Select the amount of time a candidate's status should be in Sent Documents before the reminder goes out

    1. Recommend options are 1, 2, or 3 days.

  3. Follow to the next prompt, and select "a message is sent"

  4. Based on the type(s) of template created, choose whether the reminder message will be sent via Email, Text or both.

  5. Select the name of the Email/Text template that will be sent as the reminder to candidates.

  6. Select the name of the Document Packet(s) that will be included when this reminder is sent to candidates.

  7. Click Done, then make sure you click Save at the top of the page.
