Transitioning an Applicant to an Employee

Learn how to transition an applicant to an employee by send your onboarding document using Apploi Onboard

You’ve found a great new employee, so what’s next? Send them their onboarding documents!

Transitioning a candidate to employee status is crucial for ensuring that your hiring metrics accurately reflect completed hires and that the candidate is fully integrated into your organization’s workflow.

Transitioning an applicant to an employee in Apploi ensures that the hiring process is complete and the individual is properly integrated into your organization’s system.

Once you are in the applicant’s profile, click the 3 vertical dots on the right hand side and click “Transition to Employee”.

A pop-up window will appear, prompting you to select the following:

  1. Job Title: Which job the employee will be performing.

  2. Role: The employee’s role at your location. It’s important to note that despite their job title, if they hold one of the licenses available under that selection, you will need to choose the correct role in order to complete the correct license verification process (i.e. if this person is the Director of Nursing, please choose RN). See more by visiting our In App Credentialing Help Center Article. If the appropriate role is not available, choose the next best option. You can edit the employee once they have been added to the Onboarding and Manage Team portal. See Employee Profile for more information on how to edit an employee’s profile, including role update.

  3. Onboarding Documents: Select which onboarding document(s) you would like this employee to complete.

If you need to edit or add additional documents, please reach out to your Customer Success Manager or our Customer Support team.

Once you click confirm, the Employee Created confirmation box will appear. You will now be able to manage this person in the employee database.

This step also updates the hiring metrics to reflect the candidate as a completed hire, ensuring accurate tracking of your hiring progress.

You can view the employee’s profile by clicking “View Employee” from the confirmation pop up:

It is important to note that this person will have a record in both the Applicant and Employee portals and will be managed separately. This separation ensures that the system can accurately track and manage the individual’s progress through both the applicant and employee workflows.

Common Issues and Resolutions

  • Issue: A candidate’s status does not reflect as "hired" on the homepage metrics.

    • Resolution: Verify that the candidate’s status has been updated to a stage within the "Hired" category.

  • Issue: A candidate who has signed documents is not showing as a completed hire.

    • Resolution: Ensure that the candidate is transitioned to an "employee" status after completing the document signing process.
