Setting booking dependency with your elements

Set an element (room/office/desk group) to be automatically booked if another element has been booked

Archie allows you to set booking dependencies for your elements, such as rooms, offices, or desk groups. This feature ensures that certain elements are automatically booked when another element is booked.

Common Use Cases

Event Space with Sub-elements:

Suppose you have a large event space divided into smaller areas, like two conference rooms and a desk group. You want to offer the entire space for bookings while also making the individual conference rooms and desk group available separately, as they are more likely to be booked individually.

By setting a dependency, when someone books the entire event space, the two conference rooms and the desk group will automatically be unavailable for booking by others during the selected time. On the other side, if one of the conference rooms or the desk group is booked, the entire event space will be marked as unavailable during that time.

Setting Up Booking Dependencies

To set up booking dependencies, follow these steps:

  • Define the elements you want to link together (e.g., event space and its sub-elements, or different pricing packages for the same room).

  • Go to Settings/Inventory/Workspaces

  • Locate the element desired, click the 3 dots button, and click edit.

  • Scroll down to the Booking Dependencies section

  • Set the element(s) desired, when any of the elements added here is booked, the element that you are editing will be automatically booked

    • Usually, these dependencies work both ways (e.g. if a conference room is booked, the event space will be booked, and if the event space is booked, the conference room will be booked) therefore, make sure to set the dependencies in the other elements as well.

  • Click Save & Continue

  • Click Finish
