In this article, we will review the steps required to integrate your DoorFlow account with Archie. Before starting these steps, we strongly suggest that you have already created an account in DoorFlow.

DoorFlow is an app designed to help you track visitors and maintain an updated presence log. With its integration, DoorFlow can monitor and record entries when someone accesses a door using a key card, PIN, key fob, or similar method. The app will notify Archie whenever a user accesses or exits the space and will automatically create a log entry for each event.

This integration also allows you to assign locks to specific rooms and elements, ensuring that access is only available during the times specified — for example, when a room is booked.

You must install physical readers and associate them to your DoorFlow account so they can be used with Archie.

Step 1. Integrating your DoorFlow account with Archie

  • Go to "Settings / Integrations / App marketplace"

  • Locate the DoorFlow app and click "View Integration"

  • Click "Connect DoorFlow account"

  • You will be redirected to the DoorFlow Sign in screen

  • Add your credentials and click Sign in

  • You are now ready to start using this app

Step 2. Configure your Locks in Archie

  • Go to "Settings / Integrations / App marketplace"

  • Locate the DoorFlow app and click "View Integration"

  • Click "Configuration"

  • Select the locks that you will be using for Check-ins

  • Select the locks that you will be using for Check-outs

Archie tip: The best way to track your visitors if to have key readers to access and exit the building, nonetheless, if you only have readers to access the building, you can set them to be both "check-in" and "check-out", visitors must use the reader when entering and exiting.

This "one reader" set for both check-ins and check-outs will function as an ON/OFF switch. The first time an entry is registered, it will be marked as "in," and the next time it will be marked as "out," regardless of whether the visitor forgot to scan the key when leaving the building and then returned.

Step 3. Setting a door access to your elements (room, office, desk)

In this step, we will be working with elements already created, for more information about creating an element, you can refer to this article.

  • Go to "Settings / Inventory / Workspaces".

  • On the right side, under inventory, locate the element that you would like to modify, click the 3 dots button, and click edit.

  • Click the Integrations tab

  • Scroll down to the Door access configuration field

  • Click the Add door access button

  • Select the Groups desired for this element

  • Click Save & Continue and click Finish

Step 4. Manually assign a DoorFlow account to a User

  • On the main page, go to "Accounts" and then select "Personal".

  • Find the account you want to edit, click the three dots next to the status and click "Open."

Archie tip: You can also find an account by going to the search bar in the upper left part of the main menu and typing the name of the account

  • Under the General tab and click the Door access sub tab

  • Click the Add account button

  • Select the Groups that you want to assign to this user

  • Set the Start date and time when you want the access to be effective

  • Specify whether you want the access to be indefinite or if you prefer to set an end date.

  • Click Confirm

Step 5. Configuring your visitor policies

  • Go to "Settings / Visitor / General "

  • Scroll down to the section "Visitor check-out policies"

  • Select "Allow self check-out" if you want your visits to be able to check out

  • Select "Activate auto check-out" to mark your visitors as checked out at the end of the day in case that an exit hasn't been registered

Linking a DoorFlow account with an Archie account

When using DoorFlow to track visits, user accounts are automatically created when someone opens a door using their DoorFlow credentials. Once this happens, Archie receives a notification and retrieves the user’s email address. If the email matches an existing user in Archie, the system automatically links the accounts.

Additionally, if DoorFlow is used to grant access upon booking, the user account will be automatically created if it doesn’t already exist, following the same process described above.
