Integrating your Microsoft 365 account with Archie

Setting up your Office 365 account

Step 1. Integrating your Microsoft 365 account with Archie

  • Go to "Settings / Integrations / App marketplace"

  • Locate the Microsoft 365 app and click "View Integration"

  • Click "Sign in with Microsoft"

  • You will be directed to the "account selection" page in Microsoft.

  • Enter the account that you would like to connect

  • Click Accept

  • You will be redirected back to your Workspace homepage

  • You are now ready to start using your Microsoft account with Archie

Step 2. Configuring the Microsoft 365 integration options

  • Go to "Settings / Integrations / App marketplace"

  • Locate the Microsoft 365 app and click "View Integration"

  • Click the "Configuration" tab

Step 3. Link an Outlook calendar to a room

Step 3.1 If your resources aren't created on your Office 365 account

  • Create the resource that you would like to link to a room

    • Note: You need to have administrator permissions on your Microsoft 365 account to create this. For more information you can refer to this link.

  • To create a resource account:

    1. In the Microsoft 365 admin center, go to Resources > Rooms & equipment. If these options aren't available in the left panel, you may need to select Show all first.

    2. Click Add resource.

    3. Fill in the details, such as the name and email address for the resource account, then click Save.

  • Add a delegate on each resource created, make sure that your own account is added, and grant full admin rights

  • Allow 48 hours for Microsoft to update the API with the changes made to the resources.

Step 3.2 On your Archie account

  • Navigate to the "Settings/Inventory/Workspace" section

  • Click on the three dots for each inventory that you would like to associate to the calendar, and click Edit

  • Locate the "Calendar sync" section and search for the calendar (resource) that you would like to associate to this inventory

  • Click Save & continue

  • Click Finish

Note: When working with desks, you need to link a single calendar for each desk, linking the same calendar for different desks results in bookings being automatically synchronized across all desks when a booking is pushed to the calendar.

If you want to link all desks to a single calendar, you need to enable only the Push option (See below). Keep in mind that if you use one calendar for multiple resources, you won't be able to distinguish the resources in the calendar

Archie tip: If you ever encounter any sync issues, you can go to the same setting where you linked the calendar and click the "Force Sync" button.

Step 4. Link a Microsoft 365 calendar to your Tours

Once you have created your resources, mentioned in the step above, you can also link a calendar with the tour functionality. For more information about setting up your tours, you can refer to this link.

  • Navigate to the "Settings/CRM/Tours" section

  • Scroll down to the Calendar synchronization section and search for the calendar (resource) that you would like to associate to the tour

    • Note: Search is case sensitive, it needs to match the exact name set in your Microsoft 365 resources

  • Your Outlook calendar will now be associated with the tour bookings.

Archie tip: If you ever encounter any sync issues, you can go to the same setting where you linked the calendar and click the "Force Sync" button.
