Working with the booking settings

Configure how do you want to work with your regular bookings

In this section, we will review how to work with the booking settings to align with your specific requirements. By default, some of these options are disabled in your workspace. Please contact us to enable them.

To navigate to the booking settings, on the main page, click "Settings", click "General", and then click "Booking settings".

Set your booking reminder delay

  • Under the Booking settings field Specify the time in minutes that the system will use to send a reminder before the booking starts. Setting it to 0 will prevent the system from sending a reminder.

Half Day Break

Use this section set your half day break, this is used when setting up half day prices in your bookings.


Booking Display

Customize how the floor map and booking options are displayed for different elements.

List Only: This will display only a list of your different elements.

Map Only: This will display only the floor map set.

List Displayed First/Map Second: This will display the list first, but will give you the option to switch to the map

Map Displayed First/List Second: This will display the map first, but will give you the option to switch to the list.

Setting your booking check-in policies

  • On the main page, click "Settings", click "General", and then click "Booking settings".

  • Scroll down to the Booking check-in policies, and click Add policy

  • Select the category that you would like to apply your policy

  • Specify the check-in period in hours , this refers to the number of hours before the booking starts during which the user must complete the check-in process.

  • Enable Bookings created in the check-in period will be automatically checked-in to have any booking created within the check-in period set above automatically checked-in. If this option is disabled, users will always have to manually check in regardless the booking time

  • Enable Allow only physical check-in (smartphone/tablet)

    • Enable this option to mandate users to check in physically using their smartphones or tablets. To complete the process of working with this option, follow these steps:

      • Generate a QR code batch, you can do this by going to the QR code Batches section, and clicking Create identifiers

      • Print your QR codes and physically add them to your elements where customers will check in; they can be pasted next to them.

      • Open your Archie app, click on the element you want to assign to a QR code, click the QR button located at the top right to scan a QR, and scan the element you want to assign.

      • From the user's perspective, when they are ready to check in, they will need to open their Archie app and scan the QR code of the element they are using.

  • Once you are ready, click Confirm

  • Click Save

  • Repeat the same steps to add another category

Setting your Abandoned protection policies

  • On the main page, click "Settings", click "General", and then click "Booking settings".

  • Scroll down to the Abandoned protection policies, and click Add policy

  • Select the element(s) that you would like to apply your policy

  • Set if you want to create the policy for "before" or "after"

  • Specify the period in hours or minutes, this refers to the number of hours/minutes before or after a booking starts during which the booking will be cancelled if no check-in has occurred

  • Once you are ready, click Confirm

  • Click Save

  • Repeat the same steps to add another category

Amenities

Define amenities that can be associated with your elements. Amenities are features included in elements, such as a TV, printer, or whiteboard. To add an amenity, click the "Add amenity" button.

  • Name and Description: Provide a name and brief description for the amenity.

  • Choose Category: Select the category to which the amenity will be available.

  • Click confirm
