This article describes using DocuSign to send booking contracts

Overview

The Booking Contracts module and the DocuSign integration are optional features in Premier Desktop that can be activated by contacting Ardex Technology.

Booking Contracts

Booking Contracts is an additional module for Premier Desktop that allows multiple contracts to be created for a stallion booking. For example, creating separate contracts for each owner of a mare based on their percentage share of the mare.

DocuSign

DocuSign is a digital platform that enables individuals and businesses to electronically sign, send, and manage documents securely. It replaces the traditional need for physical signatures, making it easier to complete contracts, agreements, and other official documents online from any device.

Preparing to Send Booking Contracts

DocuSign requires an email address for the person being sent the contract. Consequently, Premier Desktop can only send contracts to owners of stallion bookings who have an email address specified on their Person record in Premier Desktop.

For owners where the E-mail field contains multiple email addresses separated by semicolons, DocuSign will only send the contract to the first email address in the list.

How to Send a Booking Contract via DocuSign

1. Select Main -> Bookings on the main Premier Desktop window to view the Stallion Bookings window.

2. On the Stallion Bookings window, click the stallion booking that you want to send.

3. Click the Maintain Contracts button to view the Maintain Booking Contracts window.

4. Click the ... button to the right of the the Template field to select the contract template.

5. Select the PDF file to use as the contract template.

Only PDF templates used to send contacts via DocuSign. The Send via DocuSign button will only be enabled after you have selected a PDF file.

6. Set the Update bookings sent date option to have Premier Desktop automatically populate the Sent Date field for stallion bookings when sending contracts via DocuSign.

7. Ignore the Update booking printed date option because this only applies when printing contracts.

8. Select the persons for whom to generate contracts:

  • All Owners - Send a contract to each person who has a contract for the mare. In the previous screenshot for example, select this option to send contracts to 'Janet De Veare' and 'Simon Perkins'.

  • Booking Owner - Send a contract to the booking owner. This is the person shown as the booking owner on the Stallion Bookings window.

  • Specific Owner - Send a contract to a one of the owners. E.g. either 'Janet De Veare' or 'Simon Perkins'.

9. Click the Send via DocuSign button to send contracts.

Premier Desktop opens the DocuSign Login page in your internet browser.

10. Login to your DocuSign account.

11. After you have logged into DocuSign you will be redirected to a web page showing an authentication code. Click on the button to the right of the code to copy the code.

12. Paste the code into Premier Desktop and click the OK button.

13. Once the contracts have been sent, Premier Desktop displays an informational message and updates the 'Contract Sent' for each contract sent (in the screenshot below only the contract for 'Janet De Veare' was sent).
