Adding line items to a Bulk Journal

To access the bulk journal feature select Finance at the bottom left then choose Bulk Journal. You will be presented with a list of bulk journals previously recorded in Ardex, if a journal has a tick in the Reversed column it has been reversed, and has no accounting effect.

To create a bulk journal entry similar to one already on the list just highlight the relevant entry and click Copy on the right. To create a new bulk journal entry with nothing filled in click the New button. You can view a bulk journal already recorded with the View button, and reverse a bulk journal which contains errors with the Reverse button.

If you open the bulk journal screen you will see buttons at the bottom to add line items to the bulk journal. Click any of these buttons to open up data entry lines in the bulk journal. Options are:

You will note that functions available through Bulk Journal go beyond making a simple General Journal entry. You may directly affect supplier and customer payable and receivable balances, enter charges or revenue to be distributed amongst horse owners, and record bank deposits and payments.

When adding Transactions, Expenses, Horse Money, Banking and Payment items to a bulk journal it is possible to assign different dates to different items within the same bulk journal window, but Ardex recommends that wherever possible all dates be identical, to avoid short term trial balance and clearing account issues.

Note that Banking and Payment entries have additional required fields, for instance transaction Type. Bank accounts are designated as control accounts in Ardex for this purpose, to ensure that all appropriate transaction information is recorded against each bank deposit and withdrawal.
