Roll Over Breeding Season

Ardex relies on the concept of a breeding season for horses. In Australia and New Zealand the breeding season officially runs from 1 August in one year to 1 August in the next year. Stallions generally begin serving mares in late August or early September. If a Mare becomes pregnant (In Foal) pregnancy generally runs for 11 months, with the Foal born in the following spring.

The breeding season rollover process in Ardex Premier is straight forward and quick, just follow these steps and take care as you go. Make sure that only one person in your business takes responsibility for rolling over the breeding season.

Note: Most breeding procedures, breeding related functions and breeding reports in Ardex rely on your database being rolled over to the correct breeding season. Failure to perform season rollover will create a number of ongoing issues and errors, and there is no way for a business actively involved in horse breeding to avoid Season Rollover.

Part I

  1. In Ardex go to Settings > Roll Season

  2. Check that at the top of the Breeding Season Rollover window it says This will roll-over the stud season to (the new breeding season)
    a. If the year is correct proceed, otherwise contact Ardex.

  3. Check that there is no red text displaying on Part I of the rollover which says This part has already been performed for this season

  4. If this red text does not display on Part I, then Perform Part I. Please disregard red text messages which may display on Part II or Part III at this stage.
    a. Part I is normally performed after all Foal Weaned procedures are complete. It does the following:
    i. Mares in Foal become “Home in Foal”
    ii. Mares not pregnant become “Home Foaled”
    iii. Horses off property for 60 days become “Non-Current” (optional)

Part II

  1. Close and re-open Ardex. Go to Settings > Roll Season

  2. Check that there is no red text displaying on Part II of the rollover which says This part has already been performed for this season

  3. If this red text does not display on Part II, then Perform Part II. Please disregard any red text message which may display on Part III at this stage.
    a. Part II is normally performed shortly after Part I. It does the following:
    i. Foals not “off farm” become Weanlings

Part III

  1. Close and re-open Ardex. Go to Settings > Roll Season

  2. Check that there is no red text displaying on Part III of the rollover which says This part has already been performed for this season

  3. If this red text does not display on Part III, then Perform Part III ONLY IF YOU HAVE PROCESSED ALL JULY AGISTMENT CHARGES
    a. Part III is normally performed after July Agistment has been charged. It does the following:
    i. Weanlings become Yearlings
    ii. Yearlings become Spellers or Racehorses (you choose)
    iii. You may change agistment rates for horses that were previously Weanlings or Yearlings (optional)'

Tip: Always perform the Season Rollover stages in order – I then II then III. Make sure that only one person in your business is clearly assigned the task of season rollover, and they have read this guide. If you have any questions or need help, then contact Ardex.
