Profile Groups is an advanced feature, activated on request and suitable for users with above average computer skills, and is excellent for marketing campaign support.
Create a Profile Group via Settings > Options > Profile Groups > Click New.
Add Profiles (data entry columns) via Settings > Options > Profiles > Select Profile Group > Click New.
Data Types for Profiles are ‘Integer Number’, ‘Decimal Number’, ‘Datetime’, ‘Text’, ‘Currency’, and ‘Yes or No’.
To Populate members to a Profile Group go to Main > Profiles and click the Populate button at bottom of screen.
The most common method of population is via an Ad Hoc Report query. If you don’t have any set-up yet, request one from Ardex that does what you want.
Ad Hoc Report Results can be sorted and filtered until only the desired group members are listed on screen. Then press Use and Close.
You may also include ‘Parents’ and ‘Children’ of the people selected in your Ad Hoc report results if you wish. These terms have a different meaning in this context.
Once your profile group has been populated with members, profile values will need to be entered against any people you intend to retain in the profile group on refresh.
Unless you intend to spend a lot of time double clicking and typing into cells, you will need to use CTRL-C and CTRL-V a lot, in combination with sorts and filters, to get appropriate profile values entered against all group members.
You can populate members to a profile multiple times without creating duplication or losing profile values entered.
Orange column headers represent system defined values, green column headers are profiles and are user entered and customisable.
To bulk enter a profile value against a selected group of people first create the Profile, then single click any cell with the right value entered and CTRL-C, then single click any cell in the destination column, then Populate and filter down to the desired people, then Use and Close, then without clicking anywhere press CTRL-V.
Profiles can be used to select mail merge recipients, and also to populate mail merge fields with customised data. Use Insert Comment instead of Insert Bookmark.
Don’t try to use profiles in combination with Ardex Mail Merge unless you have read the Mail Merge User Guide from beginning to end.
