Swimcloud Troubleshooting

If you are having trouble with a Swimcloud import this article walks you through some preliminary steps to check your Swimcloud data!

Integration Imports

If you are wondering about missing information or feel that data you sent from Swimcloud is not displaying in ARI, please check your Swimcloud import log.

  1. Finding your Swimcloud imports

    1. Navigate to Settings

    2. Select 'Integration Imports'

      1. This area will show you a log of all the imports that have come into ARI via an integration, which includes Swimcloud.

  2. Components to check

    1. The 'Imported By' column will show you who initiated the import and when it came into the system.

    2. The Status column shows you whether the import came in successfully

      1. If there are no imports on the date in which you initiated an import from Swimcloud or there is an import where the status column reads 'Failed', you can reach out to our team for additional support.

    3. You can also review the Report and Error message for further information

    4. Compare the Records Created, Records Updated, Records Skipped columns

      1. If you already have a well built out ARI instance, often times when you do an import from Swimcloud many of the records already exist in the system so they will be counted in the 'Records Updated' column.

Analyzing from the Grid

There are some helpful fields and filtering you can use in the grid to navigate and manage new records that have come in from Swimcloud and ensure all your data is populating.

      1. If you set the filter for Source is Swimcloud you will be able to see only the records in the system that have been created from Swimcloud.

    2. Created At

      1. You can use this to filter to see when the record was created.

      2. This allows you to search for records created in a on, before, or after, a certain date. There are a lot of different parameters you can set for this filter to find your exact timeframe.

  2. Use cases

    1. You can stack these filters to see all records created from Swimcloud on a certain date in order to cross check an import that you initiated from Swimcloud.

Common Questions

  1. Why did my total number of recruits not increase by the exact number of records I sent from Swimcloud?

    1. Some or all of the records were already sent from Swimcloud so the records already exist and data will just be added to the profile.

    2. Some or all the records were already in your system through a different method. Either they filled out a questionnaire, came in through the add-in, you imported them in a list from an event, or manually created them.

  2. Why did a duplicate get created when I pushed my records from Swimcloud?

    1. If the email in Swimcloud does not match the email on the record in ARI they will not automatically match so data will be sent to a new profile instead of updating the existing profile.

    2. If there is other matching data (date of birth, cell phone, etc), the duplicate records will show up in you Duplicate Detector and you should merge them.
