Review Duplicates Using the Duplicate Detector

Every account has access to the Duplicate Detector, which identifies records that may belong to the same person.

  1. Log in to ARI.

  2. Go to Settings in the bottom left corner.

  3. Open the Duplicate Detector.

  4. Review the records ARI has identified as potential duplicates.

  5. Open the potential duplicate.

  6. Compare the information contained in the two records.

  7. Select which data you want to retain from each profile.

    1. For example, you may want to keep the Source from one record while retaining the remaining information from the primary record.

  8. Once you've selected the information you want to keep, click Merge.

ARI uses identifying information to detect possible duplicate records, including:

  • Email address

  • Phone number

  • Admissions ID

  • Student ID

Merge Duplicates from the Record Profile

You can also find potential duplicates directly from a the record profile.

If ARI has identified a potential duplicate:

  1. Open the person's profile.

  2. Locate the Duplicates tab.

  3. Click Merge.

  4. Compare the two records and select the information you want to retain from each.

  5. Complete the merge.

This uses the same comparison and merge process available through the Duplicate Detector.

Manually Flag Records as Duplicates

Sometimes you may know that two records belong to the same person even though ARI has not automatically identified them as duplicates.

This can happen when the records don't contain matching identifying information. For example, one record may contain the person's school email address while another contains their personal email address.

If you're confident the records belong to the same person:

  1. From the grid, locate the two records.

  2. Select the checkbox next to each record.

  3. Choose the option to flag the records as Duplicates in the top selection bar.

  4. Open the Duplicate Detector or one of the records profiles.

  5. Follow the steps above once they are flagged.

Exclude Records That Aren't Duplicates

Not every potential duplicate identified by ARI will actually be the same person.

If you review two records and determine they should remain separate, choose the option to exclude them as a duplicate rather than merging them.

  • Found by clicking the three dots to the right of the duplicate line.
