Athletic Forms Reporting

Learn how to generate reports from ARI Athletic Forms

Our Athletic Forms reporting allows you to easily generate data in usable formats for both internal and external reasons.

To access Athletic Forms Reporting, click on the Reporting icon (see screenshot below).

Each of the following sections of the reporting tool is explained below

  • Overview

  • Export (for roster update)

  • Form Submissions Status

  • Individual Forms.


Overview:

This is the landing page for the Reporting area. Reports that were previously generated are listed here newest to oldest. You can download generated reports by selecting the Link URL in the last column. If the report was unable to be generated, Error will display in the File column. If you receive an error, please let us know by selecting the chat icon.


Export (for roster update):

General Information

From here, you can generate a complete list of athletes for the compliance term you have selected. This format allows you to bulk update the following fields for your athletes:

  • Preferred Name

  • Graduation Year

  • Alternate Email

  • Institution Email

Output

  • Format: Excel spreadsheet

  • Rows: One row per athlete.

  • Columns: Id, First Name, Last Name, Preferred, Gender, Graduation Year, Alternate Email, Institution Email

How to Generate

  1. Select the Compliance Term from the drop down.

    The active compliance term is the default.

  2. Select Export.

    You will receive an email when your export is ready.

  3. Download your report either from the email or from the Overview page.

  4. Make the changes to any of the fields listed above in the Excel spreadsheet.

    Note: New rows and columns will be ignored.

  5. Upload your changes by selecting the Ellipse menu in the upper, right-hand corner and selecting Update Athletes.

Form Submission Status:

This report allows you to see where your athletes are on completing their individual forms. It generates a complete list of form statuses for all athletes including their overall completion status of all forms.

Output

  • Format: Excel spreadsheet

  • Rows: One row per athlete.
    If an athlete is a multi-sport athlete, the athlete will be listed once per each sport.

  • Columns: First Name, Preferred Name, Last Name, Sport, Form Status, One column per form in this compliance term.

  • Data:

    • Form Status

      • Not Started: No forms completed

      • In Progress: At least one form Saved or Completed

      • Complete: All forms completed

    • One column per form

      • Not Started: Form has not been Saved or Completed

      • In Progress: Form has been Saved but not Completed.

      • Date/Time: Form is Complete and was submitted at this date and time.

How to Generate

  1. Select the Compliance Term from the drop down.

    The active compliance term is the default.

  2. Select Which sport category you would like to use when generating.

  3. Select your Output Grouping.

    1. All sports combined: Lists all athletes in one spreadsheet.

      Multi-sport athletes are listed once for each sport to which the athlete is associated.

    2. One sheet per sport: The spreadsheet includes one sheet per sport with the athletes for each sport.

      Multi-sport athletes are listed once on each sheet for the sports to which the athlete is associated.

  4. Select Export. You will receive an email when your export is ready.

  5. Download your report either from the email or from the Overview page.


Individual Forms:

This report allows you to export the athlete responses for a specific form. It generates field-level answers for the form and any uploaded items that are part of the form submission.

Output

  • Format: Excel spreadsheet

  • Rows: One row per athlete.

    If an athlete is a multi-sport athlete, the athlete will be listed once per each sport.

  • Columns: First Name, Preferred Name, Last Name, Gender, Sport, Form Status, Completed Date, one column per field in the form selected.

  • Data:

    • Form Status

      • Not Started: No forms completed

      • In Progress: At least one form Saved or Completed

      • Complete: All forms completed

    • One column per field: Actual data submitted by the athlete.

      Date/Time: Form is Complete and was submitted at this date and time.

How to Generate

  1. Select the Compliance Term from the drop down.
    The active compliance term is the default.

  2. Select the Form.
    Only forms with at least one submission will be in the list.

  3. Select Which sport category you would like to use when generating.

  4. Select your Output Grouping.

    1. All Sports Combined: List all athletes in one spreadsheet.
      Multi-sport athletes are listed once for each sport to which the athlete is associated.

    2. One sheet per sport: The spreadsheet includes one sheet per sport with the athletes for each sport.
      Multi-sport athletes are listed once on each sheet for the sports to which the athlete is associated.

  5. Select whether to Include uploaded files.
    If you select Yes, all files uploaded as part of the form submissions will be included.

  6. Select Export.
    You will receive an email when your export is ready.

  7. Download your report either from the email or from the Overview page.


ARI Sport vs Reporting Sport

We recognize that the NCAA requires more detailed sport reporting for some sports like volleyball/beach volleyball and cross-country/track and field. Since your coaches may manage these sports in one team, we provide a reporting sport option to ease accurate generation.

In ARI, the coach can select one or more reporting sports for their athletes. This field is available in the Sport Info area of the athlete profile. Note: This field is only in volleyball/beach volleyball and cross-country/track and field teams.

The reporting sport(s) are synced from the Athlete area and can be seen in the athletic forms roster grid.
