ARI to Slate Bio Source Format

Follow the steps below to create your Bio Source Format to receive ARI Records and Data into Slate from ARI


► Create a new Source Format in your Slate instance

  • Go to Database>Source Formats

  • Click on the New Source Format button


► Configure the General Tab in your new Source Format as follows

  • Set the Status option to Active

  • In the Name field, add this value: ARI to Slate Bio Import

  • In the Format field, add this value: JSON

  • Set the Type option to One-Time / Differential

  • In the Remap As Of Date enter yesterday's date

  • Set the Remap Active option to Active

  • Set the Scope option to Person/Dataset Record

  • Set the Unsafe option to Unsafe

  • Set the Hide option to Create source interactions

  • Set the Disable Update Queue option to All records to enter update queue upon import (allow rules to fire)

  • Set the Update Only option to Allow record creation

  • Set the Dedupe Records option to Dedupe records within source on first + last + email + birthdate

  • Set the Notification option to Failures only

  • In the Notification field, add this value: support@arirecruiting.com

  • Leave the Read Permission option unset (unless you have a different preference for this setting)

  • Leave the Upload/Build Permission option unset (unless you have a different preference for this setting)

  • Click on the Format Definition tab and then move on to the next step below

  • Paste the Source Format XML Code sent to you by the ARI Support team into the XML box in the Format Definition Tab and then click on Save.


► Send the Web Services URL to ARI

  • Next to Web Services click on the View link

  • Copy the URL and email it to support@arirecruiting.com with a message indicating that your are sending the URL for your ARI to Slate Bio Import Source Format


► Source Format Field Mappings

  • Click on Edit Mappings:

  • Complete the Fields Mappings as displayed in the screenshot below. If you would like to make any changes to these mappings, let us know so that we are aware in case they have any repercussions we need to discuss. If there are additional fields not listed below, you can map them as you normally do and we can review them with you on our next call.

  • For GraduationYear, EntryTerm and StudentType, check the box for Do not overwrite existing values

  • For the Cellphone mapping, set the Device value to 2


► Prompt Value Mappings

  • Once you have completed the Field Mappings, click on Prompt Value Mappings

  • Click on the first field on the list

  • Click on the Append Values button

  • Paste in the appropriate list of values from the Values to Append document sent to you by the ARI Support Team and then click on the Append button.

  • Next to Destination Value, click on Guess Below and then click OK

  • Confirm that any fields selected by Guess Below are correct

  • Manually select the Destination Value for any fields Guess Below did not successfully map and then click Save.

  • Repeat this step for all of the fields in the list until the are all mapped.

  • Notes about Prompt Value Mappings:

    • For ARI Archived:

      • 1 = Yes

      • 2 = No

    • The best practice is to map each Graduation Year to a Fall Entry Term (e.g. map 2025 to Fall 2025)

    • You are mapping both Graduation Year and Entry Term to Entry Term. This is because a Graduation Year exists on all ARI records being sent, but an Entry Term may not exist. If an Entry Term exists, it will overwrite the Graduation Year mapping.

    • Our State list includes a value of International. You can leave this value unmapped.


► Static Mappings

  • After you have completed the Prompt Value Mappings, click on Static Mappings

  • Click on New Static Mapping

  • Set the first Static Mapping Destination to Address>Address - Priority. Set the Value to Low Priority. Click on the Save button.

  • Repeat this process continuously starting by clicking on New Static Mapping until you have completed all of the Static Mappings in the screenshots below.

  • Your final list should look like this:

  • Note: You may also want to consider other Static Mappings depending on your normal processes. We can discuss this further in our next meeting. For instance, some schools will do Static Mappings for Student Type and Entry Term to catch any students who don't receive these values in the import. For these you will want to check the Do not overwrite existing values checkbox:
