Viewing and Managing Learners

Learn how to find any learner in Arist, review their profile and delivery details, and manage their enrollments from one place.

Platform access level: Org Admins, Managers, and Distributors (anyone who delivers courses).


Every learner in your organization has a profile in Arist, and keeping it accurate keeps delivery working. From the Learners page you can find any learner, check how they receive content, update their details, and manage every course they are enrolled in.


1. Finding a learner on the Learners page

Select Learners in the sidebar under People.

The page lists every learner with their name, the cohorts they belong to, and the platforms they can receive content on.

  • Search and filter: Type a name in the search bar, or use Filters to narrow the list.

  • Download: Export the learner list.

  • Add learner: Add a single learner directly, without a cohort upload.

  • Row menu: The three-dot menu at the end of a learner's row offers Analyze, Edit, and Delete. Analyze opens the Analytics page filtered to that learner, Edit opens their profile, and Delete asks you to confirm before removing them.

If your organization uses teams, the Learners page shows only the team you have selected, and that applies to every role including Org Admins. A learner who belongs to another team appears on that team's list instead. Switch teams with the selector at the top of the sidebar, and select the Default team to see every learner in your organization on this page. 2. Reviewing the learner profile

Select a learner to open their profile.

The Profile section puts everything about how this learner receives content in one place.

  • Account details: Arist holds the learner's name, account email, timezone, language, delivery preference, and external user ID. The account email is the identity Arist matches on, so a repeat cohort upload updates this learner instead of creating a second one.

  • Delivery addresses: A learner can receive content on more than one delivery method, and each one appears here with the address Arist sends to, like a verified phone number for SMS. When you enroll them, you pick which of these addresses receives the course.

  • Cohorts enrolled in: Every cohort this learner belongs to appears here. Cohort membership is what puts a learner in a schedule's audience, so this is where you check why a course reached them.


3. Updating delivery addresses and metadata

Select Edit in the Profile section to update the learner's delivery addresses and metadata, for example when a learner changes phone numbers. Arist delivers to the address on this screen, so when a learner stops receiving lessons, this is the first place to check.

Metadata is the extra information on a profile beyond contact details. Any extra columns in a cohort CSV upload become learner metadata automatically, and that metadata can personalize delivery, like sending course content in the learner's preferred language.

Tip: Learner metadata can also trigger enrollment automatically, like enrolling every learner whose Department starts with Sales. See Setting Up Automations.


4. Managing the learner's enrollments

The Enrollments section of the profile lists the learner's current, completed, and cancelled enrollments, with the course, delivery address, dates, and status for each.

  • Check the status: The Status column shows where each enrollment stands. See Understanding Enrollment Statuses for what each status means and how to act on it.

  • Manage an enrollment: Open the three-dot menu on the right side of an enrollment row. Manage opens the enrollment itself, and the other items act on it where it stands: Start, Pause, Resume, Prioritize, Resend, Rewind, Re-enroll, Send opt-out notification, Cancel, and Complete. Each one appears only while it applies to that enrollment.

  • Enroll the learner: Select Enroll to add the learner to a course without leaving the profile. If the learner has more than one delivery address, you choose which one receives it.

If your organization uses teams, these actions follow the team you are working in. When the learner belongs to another team, the action does not go through and a message says so. Switch to a team that learner belongs to, or to the Default team, and the same action works. This applies to every role, Org Admins included.


5. Checking delivery for one enrollment

Open an enrollment to see exactly what the learner has received.

The enrollment page shows the delivery method, delivery time, and timezone, the learner's course progress, and a message log with every message sent and when. If a learner reports a missing message, this log is where you confirm what went out, and Resend last message sends it again.

Choose Manage from the enrollment row's three-dot menu to open this page.
